Job overview
The Children, Young People and Family Health Services Directorate has an exciting opportunity for a motivated and enthusiastic individual to join us as Administration Team Leader for our Complex Needs and Disability Care Group.
The successful applicant should have a proactive and friendly attitude, be able to demonstrate substantial administrative/secretarial experience and meet the main duties of the role.
It’s important that you are an excellent communicator with experience of working to tight and changing deadlines. You will be highly organised and efficient with excellent time and diary management skills, and have the ability to prioritise requests and deal with conflicting demands. A high level of attention to detail supported by strong computer and typing skills is essential.
As a key leadership role within the team, you will have experience of supervising/line managing staff and be able to demonstrate initiative in planning yours and others workloads to effectively support clinical services.
Main duties of the job
* Provide a comprehensive secretarial service.
* Supervise, allocate and ensure quality assurance of work of administrative support staff.
* Oversee waiting lists and ensure patients are booked within RTT targets.
* Communicate with a wide range of professional staff, patients, and relatives/carers.
* Manage own workload and reorganise work practices of administrative support staff.
* Resolve informal concerns by liaising with relevant parties.
* Assist in the production of high-quality documentation.
* Manage electronic patient records, appointment bookings, and data cleansing.
Person specification
Qualifications
* NVQ Level 4 and/or equivalent experience
* Evidence of continuing professional development.
* Relevant secretarial or typing qualification.
* Good standard of general education and knowledge of data protection law.
* ILM level 3 or willingness to work towards.
Experience
* Administration experience in a clinical setting.
* Knowledge of administrative procedures and systems.
* Experience of line managing staff.
* Experience of dealing with patients and families.
* Experience of managing a demanding workload.
Skills
* Excellent IT skills including the Microsoft Office Suite.
