Menzies Distribution Solutions are currently looking for an experienced Transport Compliance Co-ordinator to join our busy based in the Livingston. Responsible for ensuring that both responsible sites are fully compliant with regards to its compliance obligations within the transport operation, reporting directly to the Contract Manager. The Details Salary: £30K Per Annum Pattern: Monday to Friday Days Hours: 09:00-17:00 (42.5 Hour Week) Locaton: Livingston (Scotland) Monthly Pay Parking Onsite Key Duties and Accountabilities (Will include but not be limited to) To conduct compliance audits on site on a monthly basis. To comply with all company quality, security and Health & Safety policies and procedures. To carry out investigations or incident reports in relation to any vehicle incidents when necessary. To monitor driver behavior through Telematics and provide information to Transport Manager to enable him to challenge any unsuitable behavior patterns. Inform AIVA when necessary on any claims and to ensure that all information is available. Be aware of the workload requirements in order to consider the hire or de hire of vehicles or trailers as and when required. Add or remove vehicles from transform Ensure site fleet numbers are correct with regards to Operators Licence To be responsible for ensuring that all vehicles have an operator’s licence disc displayed and to apply for an O licence for any vehicles that have been on site for 14 days or more. To be responsible for raising Purchase Orders as and when required for repair agents. To conduct a trailer check each morning for the site. To be responsible for checking all trailers Sub Contractors are using and monitor their movement. To check defect book for outstanding defects ensuring that defects are rectified in a timely manner, file paperwork and forward any completed defect paperwork on to the owning depot. To liaise with other depots with regards to any arranged services planned on the trailers currently located at other sites. Ensuring all relevant paperwork is completed and sent on in a timely manner. To ensure that the service planner chart is fully maintained. Update transform with service completed date and service paperwork received date. Book all vehicles in for service a week prior to required service date and communicate with transport department with regards to dates. Advise depots where the site’s trailers are currently in a timely fashion of any planned MOT’s that are due. Forward completed MOT documents to Fleet Administration. File away a copy of the MOT certificate in the relevant trailer/ vehicle file. Update the following planners and book in when required. RFL Schedule Tachograph Calibration MOT Schedule LOLER and Insurance schedule Monthly tyre inspections Conduct monthly work place inspections Input transport weekly with fuel used and odometer readings of all vehicles. Check all receipts from previous weeks, monitor and report any suspicious withdraws Record Fuel used on the MPG report Record MPG per driver on a weekly basis Call out relevant tyre repair agent when required Carry out re-torque if a wheel is removed, record and file paperwork in the vehicle trailer file. Maintain all filing in connection with vehicle accidents. Retain all information referring to driver infringements Carry out full trailer check on trailer park on a daily basis. Inform AIVA when necessary on any claims and pass on any information. General office administration to support the business Key Experience and Qualifications Experience of working in a busy Transport office. Knowledge of Driver Hours, Tachograph and WTD Legislation Strong negotiating skills Good standard of education IT literate Knowledge of Health & Safety Knowledge of transport systems. Technical Skills and Behavioural Competencies Leading and engaging people Self Starter who works on their own initiative. Excellent communication skills Ability to organize, prioritize and problem solve Ability to work in a fast paced environment Provide Leadership Strong computer skills required Experience working in a transport office.
