Role Summary

The post holder will work with minimal supervision and be expected to work flexibly as part of a team, supporting a wide range of tasks such as administrative duties, support with data analysis, report writing and gathering information. You will also be required to liaise with internal and external stakeholders and partners. Your role will include liaising with the managers and employees, smooth communication and prompt resolution of various requests and queries.
The main aim of this role is to support SmokeFreeLife Berkshire and various stop-smoking services within the company. With a focus on assisting in the office with the handling of Nicotine Replacement Therapy (NRT), delivering Very Brief Advice (VBA) training, and general admin tasks.
Full training will be provided to ensure the post-holder is competent to support across a range of areas.
Main duties of the job
MAIN DUTIES AND RESPONSIBILITIES
Specific duties of the role may vary depending on the needs of the service.
Co-managing the service generic email account. Answering queries and processing referrals timely and effectively.
Contact referrals by phone to triage appropriately and book them into relevant clinics with an adviser.
Responding to phone calls and answering phone messages as appropriate.
Attention to detail when inputting and maintaining the service’s database systems.
Providing daily administrative support to the Service Coordinator and Stop Smoking advisers.
Offer support, information and advice to clients/health professionals where necessary. Identifying clinical queries from callers, reviewing urgency and referral to appropriate Specialists.
Ensure enquiries/complaints are sensitively handled and raised appropriately for action.
To collate and store service user feedback.
To work with the team to capture, create and schedule content for the service’s social media platforms.
To assist with organising internal and or external conferences and training days, including registration and resource preparation.

Person Specification
Education and Qualification
* A certified NCSCT Smoking Cessation Practitioner is desirable.
Knowledge and Skills
* An understanding of health inequalities within the local area
* A strong understanding of the impact of smoking on health
* Knowledge of current trends in smoking and vaping among young people
* Ability to understand and respect the diverse cultural backgrounds of people, tailoring support to meet their specific needs.
* Ability to build rapport and trust with a wide variety of people, making them feel comfortable and respected.
* Knowledge of behaviour change models
* Knowledge of the local area of Berkshire
* Proficiency in techniques like motivational interviewing to encourage behaviour change and support people in their journey to quit smoking
