Job Purpose To provide a range of administrative and support services to the Graduate School. Main Duties and Responsibilities Act as first point of contact for students and visitors to the Graduate School which will include reception duties; dealing with enquiries through telephone, email and Teams as appropriate. Manage deliveries and ensure reception desk is kept tidy. Responsible for providing and supporting a range of administrative tasks and processes across the team including logging all incoming and outgoing mail, photocopying, ordering of office supplies, managing meeting room and laptop bookings, and handling any facilities requirements. Provide general advice and guidance to applicants and current students, follow up on requisite actions, escalating issues and reporting accordingly to ensure timely completion of tasks. Provide event management support for Graduate School activities (e.g. both PGT & PGR events). Provide diary management and administrative support to Dean of Postgraduate Research and Dean of Postgraduate Teaching. Processing external examiner expenses and liaise with other university services as appropriate. Update and retrieve information from MyCampus where appropriate. Provide support to various Graduate School committee groups and meetings including organising meetings, notetaking, and minuting as required. Provide support when required to manage the Graduate School electronic mailbox. Co-ordinate and support activities such as assisting with Salto access, Visitors Book and badges, receiving deliveries and mail, organizing taxis and campus parking for visitors. Provide support in arranging meetings with internal and external stakeholders including with NHS and partner organisations. Assist in the production of updating Graduate School literature including postgraduate research handbook and research training brochure. Provide support for the PGT and PGR teams as appropriate during busy periods as required. Undertake any other reasonable duties as required by the team and business unit. Knowledge, Qualifications, Skills, and Experience Knowledge/Qualifications Essential A1 Scottish Credit and Qualification Framework (SCQF) Level 4 in English and Maths (National 4) or equivalent, and some experience of working in a similar role. Desirable B1 Knowledge of the University’s internal systems, e.g., MyCampus, Core (the HR/Payroll system). Skills Essential C1 Proficient in the use of MS Office: Excel, Word, Outlook. C2 Good time management and organisational skills. C3 Ability to prioritise workload and work well with competing priorities. C4 Use of initiative and ability to work with minimal supervision. C5 Good written and oral communication skills. C6 Excellent interpersonal skills. C7 High level of accuracy and excellent attention to detail. Experience Essential E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post gained through working in a similar role. E2 Administrative or secretarial experience in a similar role. Desirable F1 Experience of working in a busy office/reception environment. F2 Experience of working in a higher education environment. F3 Experience of printing and collating a high number of meeting papers for Senior colleagues, working to tight deadlines. F4 Experience of diary management. F5 Relevant experience of acting as first point of contact offering a friendly, approachable, and customer service-led environment. F6 Experience of minute-taking. Terms and Conditions Salary will be Grade 3, £22,995 - £23,581 per annum pro rata. This post is part-time (21 hours per week) and open ended (permanent).
