Responsibilities:
1. Undertake Reception duties on a daily basis, treating all callers with tact, discretion, and courtesy while exercising judgment when dealing with Trust Staff and Income Generation Clients' needs.
2. Answer telephone enquiries, take messages accurately, and provide non-medical information and advice in a responsive manner according to trust processes. Ensure adequate phone cover at all times.
3. Make appointments for staff as directed using eOPAS, ensuring maximum use of all clinical appointments and relevant documents are available for clinical decisions.
4. Ensure effective time management and forward planning of clinics to minimize disruption to the Department.
5. Type back dictation from Winscribe from OH Consultants and/or other OH Practitioners to defined standards of presentation. Check and amend documents to ensure they are free from errors before collation and dispatch.
6. Perform accurate and timely data entry.
7. Handle incoming and outgoing correspondence appropriately, using standard formats where indicated.
8. Assist in the collection, collation, and presentation of data for research/statistics to aid decision-making and future service planning.
9. Ensure adequate stationery supplies are maintained and reordered in a timely manner using Supplyline.
10. Chase GP/Specialist reports and provide regular feedback to Trust managers and income generation clients regarding the status of medical report receipts.
11. Assist with payments related to received medical reports.
12. Contribute to the Health & Safety audit and attend Health & Safety meetings as required.
13. Support the OH client portal to maintain client service satisfaction.
14. Provide cross-site cover during periods of absence.
15. Support Band 4 in the training of new staff (both substantive and fixed term).
16. Ensure compliance with the Trust's Risk Management Policies and Procedures, recognizing the commitment to protect patients, staff, and visitors from harm.
