We have a new opportunity to be part of our Facilities team in the role of Facilities Compliance Administrator.
Responsibilities:
1. Support the Facilities team through the maintenance of records in respect of health and safety and other areas of compliance.
2. Maintain the planned and reactive maintenance logs, including liaising with external contractors and service providers as necessary, facilitating requirements to support them, including RAMS, contractor portal bookings, and ensuring documentation is up to date and accurate.
3. Administration of statutory certificates.
4. Arrange bookings for health and safety and other compliance work in line with the timetables provided, updating records as necessary.
5. Support Employee Wellbeing administration.
6. Support Lone Working administration.
7. Assist the Senior Estate and Projects Team Manager with HR-related tasks including maintaining a record of holiday entitlement, absence recording, and a training matrix.
8. Raise purchase and invoice requisitions, including ordering of PPE.
9. Support, administer, and create employee and contractor passes.
10. Provide data into KPI reporting systems, including incidents, accidents, and near misses.
11. Book rooms and support diary management for the team.
12. Support events as required.
Skills & Knowledge Required:
1. Excellent administration and PC literacy skills including MS Office, MS SharePoint, and the ability to learn to use our internal and CAFM systems.
2. Excellent verbal and written communication skills with the ability to interface well with vendors and ensure positive effective relationships.
3. Experience in FM Management Systems would be an advantage.
4. High attention to detail and record keeping.
5. Organised, professional, and able to prioritise work tasks.
