We are looking for an enthusiastic Administration Officer to join the Statutory Planning team at Hobsons Bay City Council. The successful candidate will be responsible for providing high-quality administrative and logistical support to the Statutory Planning Team. The position will contribute to the development and achievement of the Statutory Planning Team’s goals through the delivery of administration and customer service tasks.
What you’ll be working on
* Provide high-quality administrative support to the Statutory Planning Department, Urban Planning Officers, and Enforcement Officers, including but not limited to telephone and email correspondence (managing messages and email inboxes), practical tasks such as mail-outs and photocopying, scheduling, bookings, etc.
* Accurately maintain and update online registers for town planning applications, subdivision applications, general enquiries, and other planning enquiries.
* Ensure the accurate lodgement and completion of planning permits and subdivision applications within prescribed timeframes.
* Provide logistical and administrative support for VCAT applications and hearings.
* Deliver word processing support through the preparation of written correspondence (e.g. memos, reports, letters, emails), with a high level of accuracy and presentation.
* Deliver high-quality customer service to both internal and external contacts, ensuring all contacts receive adequate, prompt, and courteous attention, and are linked with the relevant staff member quickly and efficiently.
What you need to succeed
* Relevant qualifications to this role, such as administration, town planning, or related discipline, or demonstrated experience in a professional office environment are highly regarded.
* Advanced Microsoft Office skills, particularly with Microsoft Word, Excel, and Outlook.
* A strong customer focus and confidence in dealing with customers via all modes of communication.
* Demonstrated experience in an administrative support role, preferably within local government within the town planning discipline.
* Strong communication and interpersonal skills.
