B3 Administrator/Coordinator/Pre-Screening - Pre-Operative Assessment

To work as part of the Pre-Operative Assessment operational & clinical team providing comprehensive Administration / Co-ordination support to corporate services.
Working in conjunction with colleagues, service users and internal and external stakeholders.
The post holder will work under indirect supervision and will directly contribute to and co-ordinate the efficient running of the service and pre-screening.
Your responsibilities will include audits, report writing, minute taking, and supporting the Operations Manager in the development of the service. In addition, you will be scheduling clinic appointments and ensuring capacity is fully utilized using our in-house systems -- to which full training will be provided. Ideally, you have worked within a similar capacity, with experience in providing all-round administrative services.
The individual will be responsible for performing administrative duties related to pre-operative assessment, including sickness, annual leave, and department meetings.
Main duties of the job
KEY RESPONSIBILITIES
1. To undertake typing which may include touch typing from audio and/or copy typing from written documentation which may include letters, emails, reports, and any other correspondence as required.
2. Create documents, spreadsheets, and reports as required using IT systems.
3. Use Trust systems to input electronic data as required.
4. Exercise initiative and judgment based on acquired knowledge and experience when dealing with inquiries.
5. Receive and deal with telephone inquiries as appropriate.
6. Maintain diaries as required.
7. Input and look up data on Trust IT systems in accordance with Trust policy.
8. Analyze and extract complex data sets from various sources.
9. Ensure post is opened daily and dealt with accordingly.
10. Arrange meetings and appointments as necessary.
11. Assist colleagues as directed by the Supervisor/Line Manager in times of pressure of work.
12. Cooperate in the introduction of new technology and new working practices to ensure the smooth running of the department.
13. Photocopy, scan, and file letters and documents as required.

Qualifications
* Good General Education (e.g., GCSE English and Maths A-C) GCSE Level 9-4
* Business Administration NVQ level 3 or equivalent experience in an administrative environment
Experience
* Experience of dealing with the Public/Customer service experience
* Experience of working with a range of Microsoft Office packages (e.g., Word, Excel, and Outlook)
* Experience of using IT systems
