Requirements • To be able to work on your own initiative and without direct supervision • To have an ability to work effectively as part of a team • To have prioritising and organisational skills • To be able to recognise and meet deadlines Responsibilities • Providing customer services and proactively generating business • Supervision of reception staff and reception service • Managing IT support for users of the telephone system • Microsoft Office skills with excel proficiency • Following routine building procedures and policies i.e. weekly fire alarm tests, fire and emergency lighting checks, twice yearly fire evacuations, issuing access cards • First aid/ Fire Marshall, Health and Safety Certificate or willing to train • Provide administrative support for new and renewing leases and licenses, ensuring administrative processes comply with financial procedures • Update and maintain tenancy schedules for all commercial property. Ensure correct information is shown for the raising of monthly rent invoices and direct debit collections; copy schedule to Management Accountant and Centre Managers. • Maintain weekly logs for Heads of Terms, leases/licence, Approval requests sent to university, approval of lease/licence returned, log notification to solicitor, Centre Managers and The Universities Group Finance Director. • Financial Administration, using the SAP financial package to include inputting invoices and producing and processing purchase orders.
