The School has improved revenue generation from spare capacity through the auspices of a wholly owned not-for-profit trading subsidiary company, UCS Facilities. Trading activities are overseen by the UCS Enterprise Office, which manages the operation of a health and fitness club ("UCS Active") a sports/swimming pool complex and on letting any spare capacity in school buildings and facilities for social and business use. Location
The Senior School is located within easy walking distance of Finchley Road (Metropolitan and Jubilee lines), Finchley Road & Frognal(Overground), Hampstead (Northern line) and West Hampstead (Thameslink)stations. Staff are encouraged to use public transport, although limited car parking may be available on site.
Job purpose
To provide front of house receptionist duties, as well as day to day support for the senior management team. Responsible for creating a welcoming and professional impression at all times. Ensuring every school stakeholder, private member and prospective customer is greeted and their expectations are exceeded at all times.
Job scope
The Duty manager / Administrative Assistant will be:
1. General
* Cheerful, with an outgoing personality and a commitment to the highest standards of customer service
* Being a Duty manager / Front of house receptionist of the club when needed. Shifts will generally be pre-assigned. These shifts will include early mornings, evenings and weekends
* Conducting guided tours of the Club when needed
* Supporting members and staff events as appropriate
* IT literate (although some training can be provided)
* Able to engage collaboratively with a team and be involved in the many different aspects of a school environment
* Be responsible for the School Sports kit ordering, stock counting, preparing for collection processes.
* Assist the Membership & Admin Manager in the smooth running of the membership department.
* Assist the management team in daily, weekly and monthly tasks when required.
1. Reception
* Dealing with all customers and visitors to UCS Active. Ensuring each stakeholder and guests are greeted and their requirements fulfilled. This will include registration for all members and visitors entering UCS Active
* Implementing associated security and administrative systems
* Answering all telephone enquiries and emails to the club in a professional manner
* Assisting in the promotion of new campaigns and assist in maximising sales opportunities
1. Administration
* Administering the day to day organisation of the Club reception
* Assisting the administration of the membership data base, including data entry of new memberships, administration of membership cards, cancellations, suspensions, and other ad-hoc membership related reports or tasks as required.
* Administering and managing all Group exercise and sports hall timetables. This includes overseeing of approximately 40 classes per week
* Collating and submitting instructor invoices
* Administering termly Kids active courses. Including staffing rotas, course administration, course dates and ensuring classes are at capacity.
* Adhoc tasks to support Memberships and Admin manager/senior management team.
1. Customer care
* Proactively developing and maintaining the highest standards of customer care in all areas of responsibility
* Ensuring the delivery of after-sales care through positive communication and regular member feedback
University College School is fully committed to safeguarding and promoting the welfare of children. The successful applicant will be required to undertake an Enhanced check for Regulated Activity from the Disclosure and Barring Service (DBS) before a formal offer of employment is made. This is a requirement as the position is within a school working with children aged under 18.
