The Improvement Administration Officer Apprentice will work in a busy, focused team. The post-holder will have a significant contribution to make in managing the day-to-day running of the improvement team offices providing high quality, comprehensive, efficient, and effective administrative support. There will be an expectation for the post-holder to be highly motivated, flexible, and enthusiastic with excellent organisational and secretarial skills.
The role will support aspects of the Cost Improvement Programme (CIP) delivery, being responsible for regular reporting and milestone tracking of major CIP projects/schemes. The role will also support the Continuous Improvement initiatives.
The post holder must be eligible to undertake and complete a Level 3 Apprenticeship in Business Administration whilst developing the skills and confidence to provide quality administrative support as a member of the Improvement Team. The role will provide the opportunity to work closely with a variety of teams within The Countess of Chester Hospital to maximise personal development, increase competence, and skills and knowledge of our different functions. Main duties of the job
1. Providing administrative support in the planning, monitoring, reporting and control, and implementation of projects.
2. Assist in the provision and maintenance of accurate and comprehensive documentation to support a consistent programme/project management approach.
3. Provide an organised and effective centralised information repository that provides access to project level documentation and configuration items. Maintain project library, reports and resources. Develop mechanisms that maximise the automation of reporting and progress capture.
4. Assist in the production of routine and ad hoc programme progress/status reports, including regular highlight reports, and monthly Programme Reports.
5. Assist in the documentation of risks and issues, maintaining the risks and issues database, monitoring progress and producing routine reports as required.
6. Create reports, documents or presentations on behalf of the Improvement Team.
7. To provide cover when required to help coordinate, organise and support the planning of meetings, events, and conferences.
8. To provide cover when required to take minutes, provide supporting papers and take actions.
Working for our organisation
The Countess of Chester Hospital NHS Foundation Trust provides services to West Cheshire and to Welsh patients covered by Betsi Cadwaladr University Health Board. The Trust works collaboratively within the wider Cheshire and Merseyside Health and Care Partnership. Its services are provided from three locations:
* The Countess of Chester Hospital: providing 438 general and acute beds.
* Ellesmere Port Hospital: providing 56 beds as a rehabilitation, intermediate and outpatient facility.
* Tarporley War Memorial Hospital: a base for community services which serve the local rural population.
The Trust employs over 6258 staff (headcount) which includes temporary bank staff and provides acute emergency and elective services, primary care direct access services, and obstetric services to a population of approximately 407,000. This includes 357,000 residents in Chester and West Cheshire which includes Ellesmere Port and Neston as well as the Deeside area of Flintshire which has a population of approximately 50,000.
The Trust is a busy district general hospital and in 2022/2023, there were more than 503,342 patient attendances (inpatient, outpatient, and diagnostic) ranging from a simple outpatient appointment to major cancer surgery. This is an increase of nearly 10,000 compared to the previous year when there were 494,387 patient attendances.
