Job Description
The Executive Assistant (EA) will provide high-level executive and administrative support to the VP of Human Resources and VP of Supply Chain, ensuring seamless operations in a fast-paced and matrixed environment. The EA will proactively manage the executives' calendars, facilitate cross-functional communication, and support strategic initiatives across multiple time zones (US and EU). By utilising advanced Microsoft Office skills (Excel & PowerPoint), the EA will assist in complex data collation, presentation preparation, and board-level documentation, all while handling sensitive information with discretion. The role requires a pragmatic, adaptable approach to shifting priorities, building strong relationships across the organization, and maintaining operational efficiency to enable both VPs to focus on their leadership priorities.
This is a full-time, permanent role offering a hybrid working arrangement. The position requires on-site presence at Sysco's London (Covent Garden) office two to three times per week. Given Sysco's global operations, colleagues frequently work across various time zones, so flexibility with working hours will be essential to accommodate different schedules.
Key Accountabilities & Responsibilities:
1. Calendar Management: Extensive diary support to VP Human Resources and VP Supply Chain, including managing conflicting deadlines and fast changing priorities.
2. Communication Management: Manage complex mailboxes to ensure VP’s are aware of emerging matters and changing priorities. As well as providing overviews and informative notes on meetings.
3. Meeting Coordination: Assist in organizing and coordinating meetings, including preparing agendas, and arranging meeting logistics to ensure smooth and productive meetings. Taking actions and following up on actionable items as required.
4. Travel Arrangements: Manage all aspects of international travel, including booking flights, accommodations, and transportation. Research and recommend travel options, maintain travel itineraries, and ensure all necessary travel documents are in order.
5. Relationship Management: Work autonomously as well as integrate within teams, with a proactive and solution focused attitude, to help the flow of communication by building and maintaining relationships with key stakeholders in varying locations, such as EA’s and Leaders across the global enterprise.
6. Miscellaneous Tasks: Handle ad hoc tasks and responsibilities as they arise, including managing invoices and raising PO’s, management of team absence and attendance, ensuring annual renewals of SRA and other key licenses are maintained, event planning and coordination and administrative support.
7. EA Support: work with the International EA team to ensure there is adequate cover for all International VPs, for periods of holiday and absence.
About you:
We are looking for an individual with significant global Executive Assistant experience in a large, complex, and matrixed organization. You’ll have a strong background in managing multiple priorities in a fast-paced environment, with a proven track record of coordinating complex diary management and travel arrangements across different time zones, including the US. Advanced proficiency in Microsoft Office (Excel & PowerPoint) is essential for data collation and creating high-level documents for Board meetings. The ideal candidate will have exceptional attention to detail, and the ability to adapt communication styles for both UK-based and international audiences. As part of the recruitment process, candidates will be required to complete a testing exercise focused on communication skills, as well as proficiency in Microsoft Excel and PowerPoint. This will be followed by a competency-based interview with the hiring team, where we will assess your experience, problem-solving abilities, and suitability for the role.
