PRS are seeking to recruit Business Centre Administrator – based in Grimsby – Paying £12.00 per hour – Hours of work are Monday to Friday, 9am to 5pm. The role is a contract role running to July 2025.
Job Specification:
• Undertakes reception duties for the Centres, receiving and dealing with visitors, telephone enquiries and accompanying prospective tenants around vacant business units.
• Assist in setting up conferencing and meeting facilities to suit customer requirements.
• Assists in the day-to-day operation of the Business Centres, which may include dealing with emergencies and other incidents, some of which may be outside normal working hours.
• Provides administrative, clerical and word processing support for the Business Centres, proficient with word, excel, power point, outlook, publisher, web-based databases and social media outlets.
• Dealing with enquiries for managed workspace, managing the application process, which includes identification, financial and company checks and sourcing references.
• Property management including conveying terms, preparation of lease agreements and maintains records of all tenant companies in line with GDPR.
• Organisation of repairs and maintenance, condition surveys, unit inspections and monitoring and enforcing tenant’s health and safety obligations.
• Processing of invoices, monitoring the collection of rental fees and other support service charges, dealing with account arrears, maintenance of financial records and provision of statistical information.
• To ensure that all budgetary and financial matters are carried out in accordance with relevant legislation and procedure.
• Assists the Management team in all aspects of safety and security in the compliance of any statutory functions connected with the Business Centres.
• Security responsibilities, locking and unlocking of centres and key holding.
• First Aid and Fire Warden responsibilities
Skills:
Previous experience of working in an office environment, with frontline customer services experience
• Knowledge and understanding of the required compliance with health and safety requirements.
• First Aid and Fire Warden trained or willing to complete training
• Ability to build effective relationships with customers, colleagues and visitors to the centre.
• Ability to plan and organise work
• Experience and ability to effectively use IT including databases and Microsoft Word Excel Outlooks and TEAMs.
• Flexible to meet the needs of the service
• Adaptable to change and new ways of working
