Are you detail-oriented and passionate about using data to drive positive change? As part of our commitment to excellence, we are looking for an analytical and proactive HR Data Officer to enhance our HR function by managing and optimising HR data and reporting.
This role supports the HR Team by providing accurate reporting on all aspects of our HR and people data to support decision making across the organisation.
This includes use of our HR systems to collect, analyse and report on HR processes and data, ensuring that all data reports are not only accurate and reliable, but also visually appealing and easy to understand. Reporting includes annual statutory reporting, regular information for the board of Trustees and Charity Management Team meetings, as well as ad hoc reports to provide actionable insights to HR leaders and management.
As a member of the HR Team, the role supports the provision of an excellent HR service to the organisation, providing additional generalist HR support (as needed) across recruitment and selection, absence management and employee relations.
Key Responsibilities
HR Data and Reporting
1. Be the first point of contact for data held on the HR Systems, ensuring accurate and up to date data is held and processed in line with GDPR legislation.
2. Co-ordinate processes for annual review and update by employees of personal data held.
3. Define, calculate and clearly explain a wide variety of HR-oriented metrics, such as but not limited to the following specialist subject areas: headcount, turnover/retention, pay and benefits, employee relations, employee engagement, sickness/absence, EDI (equality, diversity and inclusion) and recruitment.
4. Provide support in the creation and maintenance on a variety of reports or queries utilizing appropriate reporting tools. Assist in the development of standard reports for ongoing business needs.
5. Analyse and interpret workforce information to identify trends, opportunities, and risks.
6. Collate and analyse data required for statutory annual reports (including Gender Pay Gap Report, FE Data Workforce Report) and other reporting requirements.
7. To provide support and coordinate reporting of people related data for Board, Committees, CMT and Compliance.
8. Analyse and audit paperwork to ensure accuracy of employee data.
9. Familiarise yourself with our terms and conditions of employment, in order to answer queries from internal stakeholders.
10. Provide data, reports, KPIs and dashboards to support the HR function and wider business.
11. Be the system administrator for the electronic filing.
12. Resolving relevant systems related queries internally, building and maintaining a strong relationship with our HR system provider.
13. Work on ad hoc projects as directed by the HR Manager and/or Director of People.
14. Provide support for troubleshooting issues, resolving all queries and quickly escalating any technical issues to our providers that need further investigation.
15. Responsible for system administration tasks, including data uploads, data cleansing and data integrity.
16. Conduct training to staff members, including developing user procedures, guidelines and documentation.
General HR Responsibilities
1. Act as a first point of contact for HR enquiries and requests for information by managers and staff and external contacts.
2. Provide support for employment records and changes, ensuring information is processed accurately, in accordance with GDPR and in a timely manner. Including (but not limited to) starters, leavers, contracts of employment, personal details and / or employment changes, leave records, bank / casual worker agreements and volunteers.
3. Provide generalist HR support across recruitment and selection, absence management and employee relations casework (including investigations, disciplinary and grievance), depending on level of qualification/experience.
4. Undertake HR duties with due regard to confidential information and student, staff and QAC data, in line with Data Protection / GDPR requirements.
5. As part of QAC’s process of continuous improvement; work with the Human Resources Manager and Director of People to implement any process / administration initiatives to improve the HR Team and Services.
6. Maintain CPD and undertake appropriate training and development as required, including any mandatory and / or refresher training required for the role.
Other Duties
1. Provide ad hoc Reception cover for absences and / or lunch / break times, particularly on Fridays.
2. Adhere to the College’s Health and Safety Policy at all times, recognising responsibility for own safety and that of others.
3. Act at all times in accordance with the Staff Code of Conduct and QAC Values of Respect, Excellence, Enabling, Collaboration and Inclusion and FREDIE (Fairness, Respect, Equality, Diversity, Inclusion and Engagement).
4. Comply with all College policies and procedures.
5. Undertake any other duties not listed above that are commensurate with the role, as directed by the HR Team.

Skills, Knowledge and Expertise
1. CIPD Qualified (CPP L3/CIPD L5) or relevant HR experience.
2. Level 2 Maths & English GCSE or equivalent.
3. Recent experience within a busy HR/office environment.
4. Understanding of Data Protection / GDPR and confidentiality.
5. Experience of working with HR systems and data management and reporting.
6. Knowledge of current UK employment law.
7. Ability to maintain a high level of personal organisation and effectiveness to meet deadlines and manage competing priorities.
8. High level of proficiency and skill using Microsoft Excel, including using functionality to support data analysis and reporting.
9. Ability to collate and present information effectively in a range of visual and other formats, using Microsoft Office (Word, Excel, PowerPoint etc).
10. Demonstrate excellent attention to detail and a high level of accuracy, ensuring tasks are completed on time to required standards.
11. Excellent interpersonal and communication skills, with ability to build effective relationships with managers and staff.
12. Self-motivated – able to work independently and as part of a team.
13. Ability to identify improvements and make changes based on best practice.

Queen Alexandra Charity (QAC) provides education, residential support, community services and enterprises in support of young adults with learning difficulties and disabilities.
Education is provided through a national residential College that supports a diverse range of student/client abilities and needs. Our College provides education, training, routes to independent living and employment through an innovative, holistic approach to learning and support. We have educational and learning sites based in Birmingham, one of Europe’s most welcoming and vibrant cities, with a rich and diverse culture. Our main site is based in Harborne, a pleasant leafy Birmingham suburb, on a friendly and green 8-acre campus with excellent facilities and resources. In addition we also have Pinewood Campus which is located on a business park and is designated to employment progression.
Clients within our Residential Services programme still require support and the aim is to deliver a service that provides them with the means to live independently/semi independently into the future. Many clients are either in education, voluntary work or paid employment not linked to QAC directly.
Our Community Services based at our Umberslade Campus in Stirchley include a supporter worker service, women's group, men's group, LGBTQ plus group, Saturday Socials, The Night Owl Experience (disability friendly night club visit in Birmingham City Centre).
