The Best Practice Operations team is part of the Best Practice Group and is responsible for the firm's quality management systems, delivering operational business improvements and internal audit and regulatory record keeping. We are looking for maternity cover for a Best Practice Assistant to provide administrative support to the various work streams in the Best Practice Group. This is a varied front-line role offering the opportunity to interact with all areas of the business from central teams to legal practice areas. Duties include: Assist the Best Practice claims team with all aspects of claims administration, to include: opening and closing files, updating internal records, making payments, monitoring open claims matters and liaising with our internal claims lawyers to ensure our records are complete and up to date. Triage enquiries that come into the team via our BP Enquiry System. This involves monitoring incoming queries and allocating to the appropriate person. Assist in the preparation of regularly scheduled reports. Assist team members with physical file requests, file opening, file closures and incoming post. Assist with administration tasks relating to complaints, to include fielding telephone calls, helping collate documentation, making payments and act as liaison with Williams Lea support services such as Docucentre. Assist the Data Protection Officer and team with data subject access requests (DSAR’s) when required Act as liaison on large data gathering exercises undertaken by the Best Practice Group. Support the joiners and leavers process across the Best Practice Group by monitoring HR workflows, updating a tracker which then triggers a set pattern of tasks Monitor our company name watch service Diary management, arranging meetings and maintaining BP calendars. Drafting and circulating meeting notes/minutes. This role would be ideal for someone who is bright, energetic, has an eye for detail and a passion for business and delivering quality legal services. They will liaise with all areas of the business, learn transferable skills and work within a friendly and supportive team. Ideally, we are looking for someone with previous administrative experience. Experience in a legal environment would be an advantage but is not essential. Technical Skills and Experience Excellent verbal and written communication skills. Strong organisation, planning and attention to detail skills. Computer literate and proficient in using Microsoft office suite (Outlook, Excel, Word, PowerPoint). Ability to work independently, multitask, prioritise workload and problem solve. Ability to use initiative as well as take and precisely follow instructions.
