This is a great opportunity for a Legal Secretary based in Reigate working for our established client. The ideal legal secretary will provide essential administrative support and ensure the smooth operation of the law office. Strong organizational skills, attention to detail, and the ability to work under pressure in a fast-paced environment are crucial. Confidentiality and excellent communication skills are essential for interacting with clients and legal professionals.
Key Responsibilities:
1. Prepare documents and support with a range of duties which will include daily filing and the opening, closing, storage and retrieval of confidential documentation.
2. Prepare mail and enclosures for dispatch and arrange for all copying to be done in person.
3. Make appointments, arrange meetings and maintain an up-to-date diary for the team.
4. Prepare meeting rooms as necessary.
5. Provide front of house duties to visitors both in person and on the telephone in a professional and friendly manner.
6. Undertake any specific training when required.
7. Undertake online form filling requirements.
8. Operate the in-house database/system.
9. Maintain or improve on the current standards of document presentation.
10. Consider improvements to the efficiency of the department.
11. Undertake other duties as required from time to time.
Experience and Skills Requirements:
1. Good IT skills in relevant packages.
2. Previous experience as a Legal Secretary, preferably within Private Client.
3. High level of accuracy.
4. Communicate professionally with clients both on the phone and personally.
5. Provide good customer care.
6. Demonstrate a pro-active approach to work and clients.
7. Progress client matters with minimal supervision.
8. Demonstrate ability and willingness to work to deadlines, cope under pressure, use initiative, prioritize workloads effectively, and work as part of a team.
9. Demonstrate a positive attitude.
