Apprenticeship Administrator
Location: Scotland, Glasgow - Homebased role with days in the office when required
Salary Range: £24,300 - £29,700

Role purpose:
The Apprenticeship Administrator is accountable for assisting the contracts team in supporting the end-to-end delivery of CITB apprenticeships against the relevant funding agency contract. The role holder will work with colleagues, employers and sub-contractors to maintain delivery as per the agreed contract.
Key responsibilities and accountabilities:
1. Support the contracts team with the compiling of data from various reports using both funding agency and provider software and systems including monitoring of funding claims and circulating information to operational managers.
2. Support with the checking of learner folders to ensure key elements are present and available for monthly internal audit.
3. Liaising with training delivery staff to ensure background data is correct with regards to occupations and levels detailed on relevant websites and checking to see if data entered onto systems is accurate
4. Support with the logging and storing of information and documents from sub-contract delivery partners including information gathering and data checking for the college fees, requested purchase orders for fees and track and maintain payment schedules for all fees.
5. Support with the running and checking of reconciliation reports and monitoring funding claims on
6. Monitoring of relevant mailboxes, answering and flagging queries as required.
7. Mail merge and updating trackers to allow funding claims to be made in accordance with funding body rules
8. Monitor any break in learning, informing the delivery team where this stretches over a defined period. Not currently done in Scotland. We do need to monitor leave reasons and look for trends etc
9. Collating and storing of new employer contracts, providing quarterly reports and monitoring issues.
