Full Time, 37.5 hours per week £40,750 p.a Based at our brand new, open plan head office in Hessle, HU130LH We are looking for an experienced Executive Assistant & Office Manager on a temporary basis to cover maternity leave for a 10-12 month period. Normal office hours are 7.5 hours per day, Monday to Friday between the hours of 9.00am-5.30pm although a level of flexibility may be required. The role As an Executive Assistant & Office Manager, you will be responsible for providing high-level support to the Groups Executive team and Board as well as managing our brand new Quarry House offices on a day-to-day basis and taking responsibility for co-ordinating several governance areas ensuring compliance across our group of companies. This position reports directly into the CEO which requires a high level of integrity, confidentiality and engagement with both internal and external stakeholders and will require the ability to travel to London/other office locations for board meetings. The role will include: Providing support to our executive team, managing emails, calls and visitors, undertaking administrative tasks, managing diaries and meetings, co-ordinating travel arrangements and preparing board reports as required. Assisting in the planning and co-ordination of all board (including committee) meetings across the year and ensuring agendas and relevant board and committee packs are collated and shared in advance. Support the annual budget and business planning processes.Collaborating with the CEO and CFO to establish the annual budget and strategy process timeline and communicate / diarise with relevant Non-Exec, Chiefs and Managing Directors. Co-ordinating and collating information as required in a timely manner. Managing the day-to-day office requirements, including reception automated booking system, restocking office consumables, managing conference room bookings, postage and organising the shared workspaces for events and any facilities improvements. Working with the CFO to co-ordinate working groups and processes relating to: GDPR / Cyber / Risk Register / ISO. About you: Proven experience in a senior executive support position in a fast paced, fast growth business with office management experience. An organised, self-starter who has an eye for detail and the ability to work to tight deadlines. Project management experience. Excellent IT skills. Strong communication skills with the ability to build strong working relationships, work collaboratively and influence effectively. Ability to maintain confidentiality. Strong business acumen.
