We have an exciting opportunity for a Team Coordinator to join a passionate team of award-winning professionals at Hoare Lea. The role is based in our Bristol office, You will be joining a friendly admin team responsible for providing extensive administrative support to the Climate Business Unit across all regions.

The role
As Team Coordinator you will provide essential administration support to our engineering teams within Bristol. The role will also require you to provide PA to members of our Senior Leadership team, The role will report to the Admin Team Leader but will enjoy autonomy and flexibility in workloads coming directly from all team members. As a Team Coordinator will have a good overview of the priorities of the wider office and support the Executive PA in the successful running of a busy office.
Key Responsibilities
1. Provide administrative and PA support to our MEP engineers, including team leaders and Directors as required
2. Organise meetings, liaising with all levels of clients and staff
3. Coordinate diaries using Microsoft Outlook
4. Liaise with team members over the phone, via email, and Teams and actioning requests as appropriate
5. Assisting with report updates as required. Documents can be large and complex and can involve working to tight deadlines
6. Assisting the Executive PA in the execution of her duties as and when required
7. Assist in arranging client meetings, and liaising with all levels of clients and staff
8. Support with the management and coordination of diaries using Microsoft Outlook
9. Manage emails and incoming mail, actioning as appropriate
10. Update and maintain group CVs for use in tender documents
11. Assist with employee inductions, liaising with Team Leaders as necessary
12. Assist with organising catering requirements for office meetings and coordinate refreshments and lunches to meeting rooms
13. Supporting with travel arrangements to include trains, flights, and accommodation
14. Help prepare letters, fee proposals, capability statements, presentations, reports, and schedules ensuring they are formatted to the Hoare Lea brand. Documents can be large and complex and can involve working to tight deadlines
15. Supporting with the coordination and management of CPD’s
16. Assist with organising marketing/business development functions and events
17. Complete timesheets and assist with completion of expenses.
18. Support with organising catering, post, printing, and binding documents and any other ad hoc duties when required
19. Support the admin team with the effective running of our office and administrative duties, this might include reception cover, and preparing drinks for meetings in the office, as and when required

23. Confident communicator in both written & verbal with strong interpersonal skills - must be able to deal with individuals at all levels

You will have excellent communication and interpersonal skills with the ability to deal with the needs of internal staff and external contacts, the ability to build relationships with a variety of personalities is essential. Strong organisational skills and the ability to multi-task with a calm manner will be key to your success. A cheerful & positive disposition with an adaptable and willing attitude towards their working day is fundamental.
