Role Responsibilities
* To provide general administration assistance as part of the Client Facing Concierge Team delivering the highest level of customer service to clients at all times.
* Achieving the accurate transcription of correspondence and documentation by guidance from and reference to dictated instructions from the team and departmental Fee Earners, demonstrating a high degree of attention to detail and a strong command of spelling and grammar. Proofreading legal documents.
* Assembling and preparing court documents and bundles ready for trial and preparing documents for counsel.
* Attending Fee Earners at client meetings, recording accurate, hand-written notes and thereafter preparing detailed attendance notes of instructions given by the client(s) and the advice delivered by Fee Earners.
* Filing data and performing other essential, routine clerical tasks as assigned by the departmental Fee Earners.
* Scheduling of court depositions, hearings, and other related meetings, along with booking clients in for advice meetings because of initial calls and operating accurate and concise management of calendar agendas of Fee Earners.
* As and when required by the demands and needs of the practice, performing reception-based duties and absence-cover duties in an efficient, professional, and courteous manner.
* Communicating with clients over the telephone, by email in face-to-face meetings and with other solicitors and professional organisations as part of the Client Facing Concierge Team providing the highest level of customer service to clients at all times.
* Setting up client files within case management.
* Carrying out Solicitor and Client Due diligence.
* Requesting Documentation fundamental to the transaction.
* Ensuring documents are returned by clients and work providers, chasing them if required and progressing Transactions.
* Logging correspondence to the correct files/matters.
* Entering data into the correct fields in the case management system from correspondence received.
* Logging and completing tasks on the case management system.
* To meet all key SLAs and KPIs within the department/referrers’ requirements.
* To be a role model for those around you in file management, actions and behaviour.
* To ensure individual compliance with all PMPL policies and procedures at all times.
* Attend and contribute to team meetings.
* To report directly to the senior Managers on all the above aspects.
* The role will be based in the PI Department Barnsley, however, there may be a requirement to work in other areas of the business as the need arises. This role will be based in Barnsley reporting to the Senior Manager – Admin & Concierge Teams and in due course any Team Leader which may be in place.

* Minimum 1 years’ experience (but all levels considered including more senior) working in a client care/customer service environment.
* Minimum 1 years’ experience (but all levels considered including more senior) of working in personal injury.
* Understanding of e-mail systems, portals and other IT as appropriate.
* A good standard of spoken and written English is required.
* Competent use of MS Office is required.
* Use of Case Management System.
