We are a dynamic and growing furniture manufacturing company based in Frome, UK, operating across three business entities. We are seeking a diligent and detail-oriented Finance Assistant to support our financial operations. This role is crucial to maintaining the accuracy and efficiency of our financial records and ensuring smooth financial operations across the companies.
Job Overview:
As a Finance Assistant, you will be responsible for a wide range of accounting and bookkeeping tasks. Your primary role will involve administering the daily financial operations for three companies under our group. You will work closely with team members to ensure that our financial processes are smooth, accurate, and timely.
Key Responsibilities:
Bookkeeping & Accountancy Functions
* Verify that supplier invoices match procured goods in terms of quantities and pricing.
* Input supplier invoices for all three companies into QuickBooks, ensuring correct categorisation and attachments.
* Process and input employee expense forms after receiving the necessary approvals.
* Manage the payment of all suppliers at the end of the month for all three companies.
* Process employee expense payments on a weekly basis (every Friday).
* Manage Soldo card top-ups and related deposits.
* Produce and input intercompany invoices for the group of companies.
* Reconcile bank payments and receipts for all three companies and perform monthly bank reconciliations.
* Maintain reconciliation of the chart of accounts for all three companies.
* Process PAYE tax payments to HMRC before the 22nd of each month.
* Prepare and enter monthly wage journals.
* Submit VAT returns and ensure timely payments when applicable.
* Manage deposit-held payments, including movement and reconciliation.
* Download and upload files related to Soldo cards.
* Produce client invoices and reports to assist in chasing overdue payments.
Financial Control Support
* Calculate monthly wages and liaise with HR regarding employee changes (new starters, leavers, sick leave, bonuses, etc.).
* Generate and process intercompany invoices for all three companies.
* Create journal entries for accrued expenses, payments, and allocation of costs to ensure correct reporting in the profit and loss (P&L) statements.
* Reconcile deposit-held accounts, including generating invoices for goods dispatched under deposit.
* Assist with VAT return journal entries and group VAT submission consolidation.
* Gather data for stock value reports for specific entities within the group.
* Prepare monthly profit and loss statements and monitor the balance sheet for all three companies. Prepare and present financial reports at the monthly management meeting.
* Assist with the preparation of group budgets, including P&L forecasts.
* Assist with the end-of-year accounts process in collaboration with the external accountant.
Skills & Experience Required:
* Experience: At least 2 years of experience in a Finance Assistant or similar role, preferably within a manufacturing or multi-company environment.
* Qualifications: AAT Qualified/Finalist.
* Knowledge: Familiarity with UK VAT and PAYE regulations. Experience with multi-entity accounting is a plus.
* Software Skills: Proficiency in QuickBooks is essential. Advanced Excel skills and familiarity with other accounting software are advantageous.
* Attention to Detail: Strong ability to manage multiple tasks with a high level of accuracy.
* Communication: Excellent communication skills, both written and verbal, to liaise with internal and external stakeholders.
* Organisational Skills: Ability to prioritise and manage workload to meet deadlines, especially during month-end and year-end reporting periods.
* Teamwork: A collaborative mindset to work effectively within the finance team and across departments.
