Role – Information Manager
Location – London
Functional Responsible to: Business Unit / Framework Operational Lead, Technical Lead or equivalent, support from the Head of Information, Framework Director & Senior Leadership Team (SLT)
Purpose of the role:
Provide support to Framework Senior Document Controllers (SDC), Document Controllers (DC), Administrators and project teams by ensuring that training and equipment are available for users to undertake their role using agreed systems.
GT preferred systems to date are – Viewpoint for Projects (Collaboration Tool / CDE) and Field View (QA field application)
Key Accountabilities:
* Act in an advisory and supporting capacity with reference to all construction, commercial and contractual documentation.
* Act in an advisory and supporting capacity to the SDC’s, DC’s and Administrators.
* Ensure all BMS / IM Procedures are adhered to, at all project stages within project lifecycle.
* Input into the recruitment of SDC’s, DC’s and Administrators
* Liaise with the project teams to ensure that IM Plans are initiated and completed at all project stages, including Archiving stage.
* Provide advice, guidance, training, and support where necessary, to all SDC’s, DC’s, Administrators, and Internal project teams.
* Provide guidance and advice to Client, Design and Supply Chain on IM when required.
* Communicate to the SDC’s, DC’s and Administrators on any updates or changes to the Systems and Templates.
* Work with Quality Team(s) and complete regular Internal audits on projects, Systems and users and raise relevant NCR’s if required.
* Complete Internal audit across frameworks within the Environment Business.
* Offer suggestions to the System Managers on any Systems improvements.
* Build / create projects on the preferred Systems following the completion of the IM Plan.
* Configure and maintain devices, as required by the current Systems, ensuring appropriate registers are in place and maintained as applicable.
* Configure project workflows when required.
* Support and resolve escalated Systems user issues.
* Resolve any Systems issues or escalate to System Managers.
* Produce quarterly project Audit reports to BU / Framework leadership team.
* Attend quarterly meetings with C&I Systems Managers and BU Systems Managers.
* Provide quarterly reporting to BU Board for Business Unit functions on IM compliance and Systems uses and successes.
* Attend quarterly meetings with SDC’s, DC’s and Administrators to drive best practice.
* Attend quarterly meetings with BU Bid, Operational and Quality Teams to coordinate information requirements.
* Ensure that the Quality Plan and ITP contain sufficient information to establish the workspaces.
* Assess project requirements for tablet devices with the BU Operations team and request necessary devices where required.
* Configure devices and assign to the project for site use.
* Manage upload and calibration of drawings in line with current Systems and ITP requirements.
* Add and configure BMS forms in line with current Systems and ITP requirements, including identification of bespoke e-forms agreed with project team.
* Assign users to the correct Systems security groups.
* Provide face to face on-site training to the Operations team.
* Develop good relationship with project teams by visiting site regularly, at least 3 sites per week.
* Manage the project workspaces on the Systems to ensure compliance with GT processes.
* Ensure that all forms and tasks on the Systems are complete prior to project handover.
* Export final report to enable the Operations team to close out the Quality Plan and ITP.
* Any other reasonable tasks as directed by your Line Manager.

* System(s) Champion and promoting best practice.
* Key point of contact for the Business Unit / Framework to meet Information Management requirements.
* Reporting to the BU Commercial Director and ensuring that project records are effectively managed.
* Working with the BU Design Management Leads and BIM Champion.
* Good Information Management knowledge aligned to Business Unit requirements.
