The Operations Assistant will provide administrative and operational support to ensure the smooth running of business processes. This role involves assisting with logistics, managing schedules, handling correspondence, and maintaining a streamlined workflow in the operations department. The Operations Assistant works closely with the Operations Manager & staff and sometimes external vendors to help achieve operational goals.
Key Responsibilities:
* Administrative Support: Manage daily office tasks, including answering phones, responding to emails, filing, vendor management, and scheduling Engineers.
* Data Entry & Record Management: Update and maintain accurate records, databases, and spreadsheets.
* Logistical Coordination: Assist with the planning and coordination of company operations, including deliveries, engineer scheduling, and vendor management.
* Process Improvement: Help identify inefficiencies in workflow and suggest solutions to improve operations.
* Team Support: Provide support to the operations team by organizing files, managing orders, and tracking supplies.
* Customer Service: Handle internal and external inquiries related to operations, including addressing customer or client concerns when necessary.
* Scheduling: Assist with the coordination of employee schedules, meetings, and travel arrangements.
Skills and Qualifications:
* High school diploma or equivalent (degree in Business Administration or a related field is preferred but not essential).
* Experience: Prior experience in operations, administration, or a similar role is beneficial although not critical.
* Communication Skills: Strong verbal and written communication skills to interact effectively with team members, management, and external contacts.
* Organization Skills: Excellent organizational skills with attention to detail and the ability to manage multiple tasks efficiently.
* Technical Skills: Proficiency with office software (e.g., Microsoft Office) and familiarity with project management or operations-related software.
* Problem-solving: Ability to identify problems and propose effective solutions.
* Team Player: Capable of working collaboratively.
