Position Title: Customer Service Dispatcher
Work Set-up: Work From Home
Schedule: 10:00 PM – 6:30 AM PHT (Monday - Saturday)
Salary: Php 35,000 – 40,000
Sign-on Bonus: TBC
Our client provides advanced technology treatments to help individuals regain control of their lives and empower them on their journey to optimal pelvic health. Founded by Trisha Mueller, a dedicated Pelvic Health Specialist and experienced former NHS Pelvic Health Physiotherapist, their practice in Shoreham-by-Sea offers personalized care in a tranquil, private environment.
We are looking for a reliable Dispatcher and Customer Service Representative to join our team. The main responsibility of this role is to manage technician schedules, handle customer interactions, and provide outstanding service to our clients in the air conditioning, chimney, and dryer vent cleaning industry. The successful candidate will ensure efficient operations by coordinating appointments, managing leads, and delivering excellent customer support.
Your Responsibilities as a Customer Service Dispatcher:
1. Act as the primary point of contact for clients, responding to inquiries, concerns, and service requests in a professional manner.
2. Schedule and confirm appointments for treatments, consultations, and technician visits, ensuring smooth operations and optimal time management.
3. Dispatch technicians and therapists as needed, ensuring they have the required information and materials for appointments.
4. Communicate with clients through phone calls, text messages, and social media platforms.
5. Follow up on leads, maintain active client relationships, and assist with client inquiries.
6. Process customer requests, providing accurate, complete information while ensuring all communication is clear, professional, and empathetic.
7. Keep detailed records of customer interactions, transactions, feedback, and appointment details within the company CRM system.
8. Coordinate with team members to ensure smooth service operations, from scheduling to execution.
9. Provide support to clients before, during, and after treatments to ensure a positive experience.
10. Resolve client issues or concerns promptly, escalating to senior staff when necessary.
11. Follow up with clients post-treatment to gather feedback, ensure satisfaction, and address any outstanding issues.
12. Collaborate with internal teams to ensure proper scheduling, logistics, and client care.
13. Contribute to the continuous improvement of customer service processes by providing valuable feedback.
Qualifications as a Customer Service Dispatcher:
1. Graduate of any 4-year course
2. 2-4 years of experience in customer service, preferably in the HVAC, chimney, or home service industries
3. Proven experience using Workiz software (knowledge of Workiz is a must)
4. Excellent verbal and written English communication skills
5. Strong proficiency in Google Sheets and CRM systems
6. Familiarity with social media platforms like Facebook for communication
7. Reliable internet connection for effective communication and scheduling
8. Previous experience in a customer service or dispatch role, preferably in a healthcare or wellness setting
9. Ability to multitask and prioritize tasks in a fast-paced environment
10. Strong organizational skills with attention to detail
11. Friendly, positive, empathetic, and professional demeanor
12. Ability to conduct follow-up calls, emails, and chat support to ensure customer satisfaction
13. Knowledge of pelvic health treatments or healthcare services is a plus but not required
