As an integral part of the agency, you’ll be responsible for ensuring the office is welcoming for our visitors and a great space for our staff to work and thrive. You’ll work closely and collaboratively with our PA to the CEO, ensuring that she is at all times kept up to date with what you’re working on, any obstacles you’re facing, and what you’ve completed. Whilst there’ll be some regular daily/weekly/monthly tasks you’ll be getting stuck into, in truth, no two days will be the same as needs and priorities change regularly. You’ll be delivering vital services which will enable your colleagues to deliver great work for our clients. This will involve: 1. Making sure the office is clean, tidy and presentable at all times Ensuring the cleaning rota is adhered to and assisting with cleaning where necessary. Ensuring meetings rooms are set up for meetings (with catering as required) and tidying up after meetings. Being the main point of contact for suppliers, tradespeople and our landlord and liaising with them when issues are raised. 2. Providing administrative support to the business Manning the main office phone line and general email address. Ensuring visitors and guests are greeted warmly and have their car parking allocated and validated. General maintenance of office equipment and company property including being the main point of contact for our IT support company and checking the CCTV cameras are working. Ensuring office supplies are well stocked. Negotiating with new and existing suppliers to ensure we get the best contracts and prices. Researching and booking travel, accommodation and restaurants. Printing, scanning and shredding. 3. Supporting with recruitment and staff onboarding activities. From uploading job ads to reviewing CVs to sending offer letters, you’ll manage it all. Then ensuring everything is in place for the new starter’s first day. Please note that, given the nature of the Office Manager’s responsibilities, this is a fully office-based role. Whilst other BWP departments work from home on a Tuesday and Friday; you will be expected to work in the office each day along with other operational members of the BWP team.
