Operations & Support Services Coordinator Application Deadline: 23 January 2025 Department: Business Support Employment Type: Permanent - Full Time Location: Home United Kingdom Description The Operations & Support Services Coordinator plays a vital role, working alongside the rest of the Operations team in ensuring the smooth delivery of key functions across the Professional Education team. This position involves supporting with managing workbook orders, invoicing processes, management of apprentice recruitment on behalf of employers, coordinating workshops and providing data analysis and management information reporting. The role requires excellent organisational skills, attention to detail and the ability to work collaboratively with internal and external stakeholders. Please note this homebased with occasional travel to the Gracechurch Street, London office. Key Responsibilities Workbook Ordering Support the processing and tracking of workbook orders for Davies and third parties' learners, ensuring timely delivery. Maintain accurate records of orders, distribution and queries. Respond to queries from colleagues regarding workbook ordering. Build relationships internally with our Delivery Teams to ensure maximum collaboration. Invoicing Support Assist with the preparation, processing and reconciliation of invoices. Liaise with the finance team to resolve discrepancies and ensure accurate billing. Maintain a clear log of all invoicing activities for auditing purposes. Recruitment Support Manage the advertisement and promotion of our employer vacancies using the Government's 'Recruit an Apprentice' site. Build relationships internally with our Client Success Team and external employers to enable a seamless recruitment service. Review and shortlist candidates to share with employers. Assist in tracking recruitment progress and maintaining the Government's 'Recruit an Apprentice' site Workshop Coordination Manage the workshops inbox, responding to queries and scheduling learners as required. Support the delivery of workshops, including learner communication, cancellations and logistical arrangements. Build relationships internally with our Tutors to ensure maximum collaboration. Data Analysis and Reporting Compile, analyse and present data reports as required. Provide insights to support strategic planning and operational improvements. Operations Inbox Manage the Operations inbox, responding and actioning queries as required. Miscellaneous Represent and promote Davies Professional Education at external events and meetings. Support other Professional Education internal teams if required. Build relationships across Davies to ensure collaboration across the Group. Maintain learner and Davies Professional Education data in line with policies and procedures. Comply with and implement relevant health, safety, security and welfare processes as required by Davies Professional Education or Davies Group procedures. You will be trained to undertake all the tasks and will work as part of a team, not undertaking all of the tasks yourself.
