Job Title: Office Operations and Finance Manager
Location: Wisbech – PE13 3UT
Reports to: Company Director, Managing Director, Finance Director, Head of Early Years & Area Support Teams.
Salary: £27,040.00 – £35,360.00 per year (Competitive salary dependent on qualifications and experience)
Hours: 40 hours per week
Business Hours: Monday to Friday, 07:30 - 18:00
Company Closures: Statutory Bank Holidays plus one week per calendar year
Key Responsibilities:
Management
* Oversee daily administrative functions and ensure smooth operations across departments.
* Maintain accurate nursery records, including registrations and health/safety documentation.
* Manage nursery budgets, invoicing, payments, and payroll in collaboration with the board of directors.
* Develop financial forecasts and budgets to support strategic decisions.
* Monitor fee invoicing and collections, ensuring timely payments from parents and funding sources.
* Analyse costs for potential reductions while maintaining service quality.
* Act as the primary contact for parent enquiries regarding all administration.
* Manage inventory and oversee IT systems and premises maintenance.
Funding
* Guide families through the onboarding process, ensuring a smooth transition.
* Coordinate all aspects of funding, including documentation and payments.
* Audit enrolment against payments and ensure compliance with staff qualifications.
* Implement payment processes for additional funding (e.g., EYPP, SEN).
* Validate eligibility data for funding and report as needed.
Administrative Tasks
* Handle general administrative duties, including data entry and filing.
* Manage Sage Accounting records and develop financial plans in collaboration with board of directors.
* Maintain accurate sales and purchase ledger accounts, ensuring timely payments.
* Conduct credit control and communicate with parents regarding outstanding payments.
HR Management
* Maintain staff records and coordinate training.
* Implement performance appraisals and monitor attendance records.
Candidate Attributes:
Experience: Familiarity with SAGE 50 and strong proficiency in Microsoft Office. Previous finance experience; AAT qualification is desirable but not essential.
Skills: Strong organizational, communication, and leadership abilities; adept at managing diverse teams. Excellent ICT skills with the capacity to work under pressure.
Attributes: Proactive problem-solver with outstanding customer service skills and the ability to handle complex financial queries while ensuring regulatory compliance.
