JOB SUMMARY
The Client Service Assistant reports directly to the Client Service Manager as designated by the Area Director. The Client Service Assistant collaborates with the Client Service Coordinators, Managers of Clinical Practice, the Nursing Supervisors, the IT Department, and the Payroll/Billing Department as appropriate.
DUTIES AND RESPONSIBILITIES
1. Complete data entry as required.
2. Handle, screen and redirect incoming phone calls.
3. Provide vacation and break relief on reception switchboard.
4. Handle incoming and outgoing mail and couriers as well as maintaining mailing lists and databases.
5. Provide ongoing support to external business associates and clients as directed; maintain confidential business files.
6. Handle and document client concerns and complaints in a timely manner and as appropriate; notify the Client Service Coordinator and/or Supervisors; maintain appropriate documentation.
7. Participate in ongoing internal and/or external continuing education activities.
8. Adhere to Bayshore Policies and Procedures.
9. Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
10. Participate in proactive Health & Safety activities while performing all duties. Responsible for notifying immediate Supervisor of any Health & Safety risks or concerns.
11. Maintain confidentiality of client and corporate information and discuss the same only with appropriate Bayshore personnel.
12. Complete other tasks as requested.
Education: Minimum - Secondary School Diploma; completion of an Administrative Assistant training program is preferred.
Experience: A minimum of two years previous experience as an Administrative Assistant.
Other Skills and Abilities: Exceptional customer relations and teamwork skills; proficiency in Windows applications, database management, e-mail and the internet; administrative or executive level writing skills; demonstrated ability to establish priorities, handle multiple tasks and work independently and as a team member; strong commitment to continual learning; fluency in written and spoken English.
Internal candidates must have a proven ability to complete administrative tasks, deal with customers and have consistently shown above average initiative. Successful candidates must complete a three-month probationary period specific to the position.
