The Events team are a team of six responsible for the overall delivery of high-quality events for Institutional, Intermediary, Individual and Internal clients as well as supporting marketing initiatives., We are looking for an experienced Events Manager to join the team on fixed term basis who will be responsible for delivering successful client events, internal staff events, 3rd party events and webinars for each of the four business units within the Clients Department (UK, North America, International and Globally Distributed Strategies). The successful candidate will be required to provide a high-quality service to internal stakeholders and build strong relationships with the suppliers we work with to deliver high quality large scale events.Responsibilities
* Working closely with the Institutional and UK Intermediary client teams to co-ordinate and deliver events and webinars
* Working with speakers to co-ordinate logistics for events and webinars, liaising with technical and audio-visual teams
Includes tasks such as:
* Diary management
* Supplier management; catering, audio visual, coach companies, activity companies, speaker agencies
* Creating themes and new ideas for large scale staff events and client conferences
* Managing comprehensive registration lists
* Creating registration pages and microsites on Events Air management system
* Communication with clients on all aspects of the event
* Raising purchase requests
* Producing event plans and timelines
* Organising courier deliveries and collections
* Logging requests with operational teams
* Organising printed materials
* Setting up rehearsals for in-person events and live webinars on zoom
* Updating online portals with requested company information for 3rd party events
* Management of the production of online booking facilities for events and webinars, this could be through our own system, EventsAir, or through the 3rd party platforms
* Working closely with Operational teams in Baillie Gifford to create marketing materials for events, adhering to all brand guidelines
* Research of suitable locations/venues for proposed events
* Creation of new event ideas and themes for events in line with the event strategy
* Management of all costs associated with events in line with set budgets
* Develop and maintain strong relationships with both internal and external stakeholders
* Respond to direction/feedback received from colleagues/attendees regarding delivery of events
* Contribute to the development of the team by actively identifying and implementing initiatives that will improve the service delivered to both internal and external clients
* Work on ac-hod Events projects as and when required
Relevant qualification in Event Management would be highly desirable, Significant experience in an Event Management role
* Experience in digital platforms and running webinars
* Proficient in MS Office
* Experience in delivering high level large scale events
