Quays Housing is a Charitable Community Benefit Society providing high quality housing management and support services with the aim of reducing and preventing homelessness in the UK. We work proactively to reduce homelessness advocating for the right of every person to live in a secure and safe environment. We have supported over 800 tenants, working across 15 Local Authorities targeting where there is a high priority need to tackle homelessness. You will provide a point of contact for the local authority emergency placement team to assist in providing short-term accommodation and ensure that all residents are well supported to maintain their allocated nightly license agreement. You will support the Scheme Manager and the Senior Administrator with administrative matters relating to the contractual relationship held with both Brighton and Hove City Council and other stakeholders in line with our organisational values. You will work 22.5 hours per week ideally worked over 5 days per week. Key responsibilities will include: Operational Provide administrative support for the day to dayrunning of the Emergency Accommodation Service, within Brighton and Hove. Process Emergency Accommodation referrals andcancellations. Communicate with the cleaning and housekeepingteam over daily tasks to ensure the smooth running of the service. Support the Scheme Manager and SeniorAdministrator to manage voids turnaroundand ensure that all deadlines are met to minimise loss of income Monitor and replenish office supplies to allowefficient daily operations. Greet and direct incoming visitors and clients,enhancing their overall experience. Financial Ensure regular collection of resident servicecharges Carry out banking for the Schemes. Resident and StakeholderSupport Prepare administrative documents, includingletters, notices, and resident communications. Prepare warning letters, and maintenancenotifications and support management incommunicating essential updates. Manage stock (beds, appliances, cleaning andoffice supplies) and engage with vendors. Support the Senior Administrator and SchemeManager to ensure that cleaning, housekeeping, and security staff completerequired tasks and that quality standards are met. Organise daily schedules for cleaners whichincludes cleaning of voids and communal areas. Liaise with Emergency and reactive departmentssuch as the Police and Ambulance, and Probation Services. Review CCTV recordings and operate fob systems asrequired. Respond toclients and third party queries,feedback and complaints. Support the Scheme Manager to ensure thatcolleagues and clients follow health and safety regulations. Support the Scheme Manager and SeniorAdministrator in the smooth running of the Emergency accommodation services. Our ideal candidate will have previous experience in an administration role, excellent communication skills, good attention to detail, strong organisation skills with the ability to prioritise work and meet deadlines. You should also be proficient in microsoft office suite. An understanding of the social housing and homeless sector and experience of dealing with vulnerable people who may experience poor mental health and addiction would be an advantage.
