Job Overview
This role involves coordinating the clinical diary and scheduling appointments, requiring effective communication with service users, external stakeholders, clinicians, and the clinical administration team.
Main Duties
1. Monitoring clinician diaries and scheduling appointments.
2. Ensuring all patient appointments are offered and completed within specified timeframes.
3. Responding to new enquiries and providing relevant information.
4. Following-up on enquiries and tracking conversion rates to meet service targets.
5. Updating NHS System One and assisting with account setups for new users.
6. Handling complaints and patient sensitivities.
7. Proofreading, finalizing, and emailing assessment reports.
8. Managing email correspondence with clients, GPs, and team members.
9. Monitoring waitlists and resolving related issues.
10. Managing referrals and maintaining a monthly referral log.
11. Covering colleagues' work during absences or capacity issues.
12. Discharging patients upon completion of assessments.
13. Referring patients to post-diagnostic support services where appropriate.
14. Providing clinicians with necessary documents for assessments.
15. Data entry and documentation uploads to in-house databases.
16. Liaising with external contacts such as schools.
17. Booking internal and external clinic rooms as needed.
18. Training and supervising new team members.
