A generous referral scheme. The Estates Repairs Administrator Assistant plays a vital role in ensuring the efficient and effective processing of repair requests and maintenance operations. The position is responsible for supporting the repairs and maintenance team with administrative tasks, record-keeping, scheduling, and communication, to ensure repairs are carried out promptly and efficiently. What you’ll be doing: Maintain purchase orders log and file purchase orders upon payment, ensuring that orders match packing slips. Allocate all new jobs into the maintenance log on the shared drive ensuring all information is inputted including the date logged the region notes and to whom it is allocated. Generate the maintenance operative’s worksheets and ensure issued out via email to the nominated operative and all area managers whom the operative interacts with are made aware of the job sheets that are to be completed. Coordinate with other departments in order to respond to requests and resolve maintenance issues. Enter and locate work-related information using computers and/or point of sale systems. Serve as a liaison between the repairs team, operational teams, and external vendors, providing updates and answering inquiries about repair progress. Assist in tracking repair costs and managing invoices from contractors and vendors. General filling and administration tasks. Perform other reasonable job duties as requested by Supervisors. Who you are: You will be experienced in general administration and or reception tasks. Proficient in Microsoft Office Suite (Word, Excel, Outlook). You can work under pressure and to deadlines. You are able to plan, organise, and prioritise workloads. You will have good written and verbal communication skills, and the ability to communicate with people at all levels. Experience of working as a first point of contact on a busy reception desk or within a busy administration environment is desirable. An administration qualification is desirable but not essential. Experience with repair or maintenance management software is desirable but not essential.
