Asia Tour Coordinator Job Details JOB DETAILS: Position Title: Asia Tour Coordinator (VA10) Reports to: Assistant Section Manager, London Branch Location: London Office Hybrid Working (Currently 2 days in the office and 3 days WFH) Department: London Branch Employment Type: Permanent and Full Time Salary: £26,000 - £28,000 per annum (depending upon experience) Start Date: ASAP Prepared / Revised on: 13 November 2024 Job Purpose Oversee the entire coordination process, from initial bidding through to addressing any on-site issues that arise during service delivery. Main Responsibilities Supervise all booking stages from beginning to end, and to ensure high-level of monitoring and collaboration throughout the stages with the Operations Team, for them in turn to follow up on reservations. Facilitate communication and coordination between the Sales and Operations departments to ensure seamless processes between the two departments, and to maintain high client satisfaction levels. Handle all aspects of new bookings, amendments, reconfirmations, and cancellations for Human Services, and to confirm all relevant service providers are briefed on all requirements. To address and respond promptly to any enquiries or updates related to tours via the tour messages and emails, ensuring clear communication across departments. Conduct thorough checks on costing sheets to verify accuracy and consistency with business objectives. Conduct a comprehensive final review of all tour details, ensuring accuracy and preparedness. Coach-related details will be cross-checked with the Coach Section. Provide support for new bookings, amendments, and cancellations that arise after the group has departed from the original country. Quickly resolve on-site issues as they occur. Engage in regular client follow-ups through courtesy calls and in-person visits to maintain strong relationships and identify improvement opportunities to management. Ensure seamless coordination for VIP and MICE clients by managing all aspects of their service delivery. Work closely with the Procurement & Planning Team to identify and recommend new product offerings to the Sales Team based on market trends and client feedback. Participate in an on-call rotation, typically once a month, to provide customer support outside of office hours, on weekends, and during Bank Holidays. During on-call shifts, liaise with team members and suppliers (e.g., tour guides, coach companies) to resolve urgent tour-related issues and ensure smooth operations for clients on the road. Qualifications and Experience Minimum of 2 years Travel industry experience within the field of sales or operations is essential Educated to a minimum of GCSE Level Math's and English, Higher Diploma Level or equivalent Competency in Microsoft Office suite and basic IT understanding. Relevant Skills / Characteristics Strong customer service skills Strong communication, multitasking and negotiation skills Fluent written and verbal communication in English and Chinese Mandarin is a must.
