Executive Administrative Assistant to Head of Tax Services Counting King | Grants, Tax Incentives & Business Finance Full-time, office-based in Salford Quays, Greater Manchester. Working Monday to Friday 9AM to 5PM. Basic salary £26,000 - £29,000 per annum, negotiable depending on experience. What do we do? The Role An exciting opportunity has arisen for an organised and proactive Executive Assistant to support our Head of Tax Services in managing our growing Compliance function, particularly in relation to HMRC correspondence. With increasing demand and the complexity of the Head of Tax Services’ responsibilities, we are seeking an exceptional individual to provide dedicated administrative and organisational support. This role is instrumental in ensuring the seamless delivery of our services and upholding our commitment to excellence for our clients. The successful candidate will manage the Head of Tax Services' diary, act as a liaison with HMRC, ensure deadlines are met, and coordinate client communications. This role involves gathering and processing essential documentation, scheduling meetings, and ensuring smooth workflow in a fast-paced environment. Whilst prior experience in finance is preferred, the ideal candidate will be highly organised, process-driven, and assertive enough to manage priorities effectively whilst fostering positive working relationships. Excellent communication skills, keen attention to detail, and the ability to multitask are essential for success in this role. Key Responsibilities Oversee the Head of Tax Services' diary, ensuring effective prioritisation of tasks based on urgency and importance. Utilise Counting King’s internal CRM system to effectively manage tasks, track communications, and organise documents efficiently. Coordinate meetings, ensuring all parties are well-prepared in advance. Serve as the primary point of contact with HMRC regarding compliance cases, ensuring all communications are addressed promptly. Serve as the primary point of contact for clients regarding compliance cases, maintaining a professional, supportive approach. Obtain necessary documentation and information from clients and their accountants, following up on incomplete or inaccurate information and chasing when required. Manage inbound and internal queries relating to compliance cases in a timely manner, maintaining detailed records of interactions. Maintain an organised system for monitoring the status of client claims, promptly alerting the Head of Tax Services of any potential issues or risks. Ensure all compliance deadlines are tracked and acted upon in a timely manner to avoid penalties or delays. Maintain organised and secure systems for recording and storing data. Scan, organise, and file documentation received relating to compliance cases, ensuring it is easily accessible for relevant team members. Ensure that administrative processes safeguard sensitive information and comply with relevant regulatory requirements such as data protection regulations. Work cohesively with other departments to ensure clients receive the best possible service. Identify opportunities for process improvement to enhance departmental efficiency. Skills and Experience Required Essential: Excellent communication skills, both written and verbal, with a good telephone manner. Good interpersonal skills, with the ability to build positive relationships whilst being assertive when necessary. Excellent customer service skills. Strong computer literacy, with proficiency in Microsoft Office suite and experience with CRM systems. Strong attention to detail. Excellent organisational and time-management skills with the ability to manage and prioritise multiple tasks simultaneously. Good problem-solving skills and ability to take initiative and address challenges proactively. Familiarity with data protection regulations. Desirable: Experience in financial services (exposure to tax or compliance processes preferred). Knowledge of the Research and Development tax incentive, other corporate tax incentives, or HMRC compliance processes.
