Job summary We are looking for an experienced administrator to provide confidential and courteous secretarial administration support to the Community Mental Health team. This role involves managing diaries for clinics, organising meetings, including taking minutes and maintaining records. You will need to be highly organised, proactive, and capable of multitasking in a fast-paced environment. Strong communication skills and experience with Microsoft Office are essential. Main duties of the job To provide administrative and secretarial support to the manager and clinical teams as directed. To provide confidential and courteous administration support for clinics booking appointments checking and highlighting non attendance to the clinical team. To time manage and prioritise own work, using initiative consistently. To coordinate an appropriate diary management system for the clinical team. To act as a point of contact for the Clinical Staff and Patients and be able to respond within the agreed guidelines using own initiative. Ensure that patient medical record systems are available and monitor that they are correctly maintained. This includes, but is not limited to, ensuring correct RiO demographics, validations systems, and spine synchronisation, up-loading and maintaining correct documentation. To record details from the daily multi disciplinary team meeting, distribute the all clinical/medical members of staff. Action any outcomes from the meetings liaising with other administrators clinical staff have been booked or that the relevant administrator responsible for signposting to other agencies are aware of the details etc. To manage telephone enquiries on behalf of the Team/Clinical staff and respond accordingly. To provide administration support to the Team and other identified senior clinical staff for meetings as requested.
