Key Responsibilities
1. Provide full administrative support to a residential conveyancing fee earner.
2. Assist the fee earner with all aspects of conveyancing transactions, including sales, purchases, shared ownership, transfers of equity, and remortgages.
3. Handle client communications via phone, email, and in person, ensuring excellent customer service.
4. Manage and maintain client files with meticulous attention to detail.
5. Use case management systems to track and progress transactions efficiently.
6. Act as the first point of contact for clients when dealing with matters post-exchange, ensuring a professional and friendly service.
7. Take full responsibility for matters post-exchange, effectively heading up the completion team.
8. Set up files for completions, including drafting completion statements, requesting mortgage funds, liaising with accounts to set up payments/receipts, and collating third-party figures.
9. Manage completion day processes, ensuring all formalities are handled smoothly.
10. Handle post-completion formalities, including submitting SDLT returns, registering properties with HMLR, updating LMS/Lender Exchange, closing files in a timely manner, and managing any residual balances.
About You
The ideal candidate will have:
1. Previous experience in a conveyancing team or legal environment, including shared ownership work.
2. Excellent communication skills with a professional and friendly telephone manner.
3. Strong IT skills, including experience with case management systems.
4. High attention to detail and strong organisational skills, particularly regarding post-completion formalities (HMLR, SDLT, and LMS updates).
5. The ability to work both independently and as part of a team.
6. A proactive, positive, and enthusiastic approach to work.
