JOB TITLE: HR Administrator
REPORTING TO: HR Admin Manager
LOCATION: WBC3, Hounslow
HOURS: Full time (Permanent), 37.5 hours per week
SHIFT PATTERN: Monday - Friday, 8.30am-5pm
SALARY: Competitive
ROLE OVERVIEW AND PURPOSE
We are looking for dynamic, capable, driven, flexible and solutions-focused individuals for the position of HR Administrator. This role will report to the Manager, Team Member Service Centre.
The successful candidate will be able to work in a fast-paced environment, delivering HR support to our operational teams primarily utilising the Company's new global enterprise system Oracle TMG and supporting business-critical projects. The role exposes the applicant to data entry, onboarding processes, compliance and projects. It is a great opportunity for a person who is meticulous in accurately entering data, providing excellent customer service, and demonstrating strong attention to detail while supporting the HR function.
KEY RESPONSIBILITIES
1. Administer starter/leaver processes including all documentation, contracts, and offer letters.
2. Manage induction processes.
3. Conduct immigration documentation checks for new starters and existing employees throughout the employee lifecycle.
4. Work in partnership with HR and Payroll teams to ensure data records are consistently and accurately maintained.
5. Prepare all contracts/letters for any changes to employee terms and conditions.
6. Support the implementation of Oracle - HR System; enter data and maintain records accordingly.
7. Prepare management reports on employee-related data to assist with the management and development of staff.
8. Prepare reference requests and liaise with external companies.
9. Act as the first point of contact for general HR queries.
10. Provide employee relations support.
11. Provide general administration support to the HR Department as required including filing, answering the telephone, scanning, photocopying, and emails.
REQUIRED SKILLS AND EXPERIENCE
1. Ability to communicate effectively with internal and external contacts at all levels.
2. Ability to work in a fast-paced environment with strict deadlines, within defined standards.
3. Ability to manage confidential and sensitive information appropriately.
4. Ability to take notes/minutes at meetings.
5. Good personal organisation and a flexible approach.
6. Excellent written and verbal communication skills with great attention to detail.
7. A creative and decisive thinker.
8. Ability to work as part of a team.
9. Good Microsoft Office skills.
DESIRED SKILLS AND EXPERIENCE
1. Experience in Human Resources administration.
2. Experience in producing accurate and complex employment/contractual documentation and correspondence.
3. Good understanding of Right to Work requirements.
4. Ability to provide basic advice on employment terms, conditions, policies, and procedures.
5. Experience using Oracle - HR IT System or a similar HR IT System.
6. Experience working in an HR Shared Services Team.
