About the opportunity
A new opportunity for an Office Manager has cropped up in their Edinburgh office. This role will have true variety between office operations and procedural work as well as general office administration and as personal assistant to the Project Director.
This role will include:
1. Overseeing the daily office operations including facilities, supplies, procurement, vendor, budgets and expenses.
2. Managing the new office relocation including design and refurbishment set ups.
3. Designing, implementing, and updating office policies. Maintain office efficiency through implementation and improvement of systems and processes.
4. Coordinating meetings, events, and appointments and act as the point of contact for all office related inquiries and requests.
5. Coordinate office risk assessments according to safety policies, procedures and guidelines.
6. Processing invoices and payments on SAP.
7. Managing the lease, contracting, billing, and itinerary checks.
8. Assistance to the Project Director on a 1:1 basis including diary and calendar management, meeting and event arrangements, travel arrangements, preparing documents, reports, and presentations, and secretarial duties on request.
About you
This role requires previous and extensive experience as an office manager or in a similar role where you have been responsible for the entire office management systems and procedures as well as providing personal assistance.
You will need to be meticulously organised with strong communication and personable skills. You can work autonomously but also enjoy working as part of a wider team. Lastly, you enjoy the fast paced nature and thrive in working under pressure and meeting tight deadlines.
