Business Travel Coordinator (9 Month Fixed Term Contract)

About the Role:
A vacancy has arisen for a Business Travel Coordinator reporting to the MBM Travel Manager-Race and Business. The successful candidate will be responsible for cost effective provision and administration of travel and accommodation services to support the team’s corporate and competitive objectives.
Key Accountabilities (Duties):
1. Co-ordinate the Ad Hoc Travel Requests and tests:
2. Research and cost options for approval prior to any bookings being made.
3. Book all the travel arrangements for approved travel requests and tests including flights / hotels / transfers / car hire.
4. Production and publication of the travel itinerary (including preparation of the itinerary document, welcome letter and Travel packs with E-Tickets).
5. Completion of the flight manifest including input of passenger details and submission to airlines.
6. Completion of the rooming list including submission of the list to hotels. Co-ordinate the arrival of the team and any VIPs.
7. Booking of all ground transfers both in the UK and overseas.
8. Work with Mercedes-AMG to organise the allocation and use of Mercedes supplied vehicles.
9. Organise the completion and submission of the subsistence allowances for team members after a race / test event.
10. Check, reconcile and complete the administrative process for all invoices. Identify and make arrangements for the recharge of any costs.
11. Provide out of hours contact as and when required for all travel arranged by the job role, if unable to do so, ensure that an alternative is arranged.
12. As and when requested, assist and provide support to the MBM Head of Travel and the rest of the Travel team.
13. Maintain and provide records and other information to facilitate the smooth operation of the Travel department.
Candidate Profile
Essential:
* Experience of SAP is desirable.
* Experience of Travel administration in a fast-moving environment.
* Advanced Excel and numeracy skills.
* Excellent organisational skills and attention to detail is key.
* A self-driven, pro-active individual with a “can do” attitude and ability to work in a team.
* Good inter-personal skills & ability to communicate at all levels.
* Demonstrated ability to work to deadlines.
* Ability to work well under pressure and manage sensitive and confidential information.
* Able to demonstrate problem solving skill.
