Your Role
This is an exciting opportunity to join one of the largest national law firms in the UK. You will be supporting the busy Personal Assistant Team acting as one of the key communication routes with clients and other areas of the business (especially Group Services).
Whilst you will be based in your local office, which is Newcastle, you may be supporting case handlers nationally based in all locations.
This business administration apprentice role is designed to teach valuable administration skills and give you experience of working in a busy office.
Your main responsibilities within the department will include the following:
* Support the delivery of high levels of client communication by dealing with queries and ensuring Partners and fee earners can respond to clients.
* Ensure that fee earners can focus on revenue-generating activities by coordinating other activities and maintaining consistency across the Group.
* Support fee earner email management, ensuring emails are filed in the relevant electronic system in accordance with procedures, processes, and policies.
* Manage fee earner diaries via the electronic calendar system, ensuring accurate information is included.
* Arrange conference calls and book meeting rooms and video conferences when required.
* Book travel arrangements and accommodation in accordance with our Policy.
* Prepare agendas for meetings, collate papers, take minutes, and produce those minutes promptly.
* Coordinate an efficient billing process and support fee earners in providing the right level of information to clients for swift payment of invoices.
* Support our Group Sales & Marketing Team in hosting relevant events.
* Undertake file opening procedures, ensuring all aspects are completed including compliance checks and letters of engagement.
* Work collaboratively with Personal Assistant colleagues to provide a seamless and efficient service.
* Maintain email distribution lists and ensure intranet pages are up-to-date.
Our Apprenticeship
Who is it for?
This is a 24-month apprenticeship perfect for anyone who wants to gain hands-on business and administration experience at the UK's largest full-service law firm. This apprenticeship is a good alternative to university, as it gives you the chance to earn while you learn and helps you work towards the Business Administration Level 3 apprenticeship.
What will I study?
The training and development part of the apprenticeship is delivered by our apprenticeship training provider Damar Learning via distance learning and interaction with a dedicated coach throughout the programme.
What are the entry requirements?
You'll need 5 GCSEs at grade A* to C or 9 to 4, including Maths and English to meet the minimum academic requirements for this apprenticeship. If you have a law degree, you cannot apply for this apprenticeship.
What happens after the apprenticeship?
Upon completion, there will be an opportunity to be considered for permanency or to apply for alternative roles within Irwin Mitchell.
