Job Title: Document Controller Reports To: Document Lead / Manager Location: London, Bristol or Suffolk, with potential travel to supplier sites and partner offices Business Unit: Project Delivery Organisation Department: Quality – Records Function About the Project This role supports a large-scale infrastructure project focused on delivering sustainable, low-carbon energy. As part of a nationally significant development initiative, the project aims to meet critical environmental and energy goals. The Delivery Organisation is responsible for managing the full lifecycle of the plant's development—Engineering, Procurement, Construction, and Commissioning (EPCC)—with a strong emphasis on delivering scope safely, to quality standards, on time, and within budget. The Quality team within the Delivery Organisation is responsible for defining and implementing the quality strategy to achieve a “right first time” outcome across all areas of the project. This includes comprehensive oversight of records and documented information across multiple disciplines and suppliers. Purpose and Overview The Document Controller is responsible for the implementation and oversight of best practices in document and records management across all contracts and project functions. This role ensures that requirements are clearly defined, communicated, and effectively deployed throughout the organisation and supply chain. The role requires a visible and proactive advocate for high standards in document control, including the promotion of lessons learned from other major infrastructure projects. The Document Controller will work closely with multi-disciplinary project teams, supply chain partners, and IT and Information Management functions to maintain consistent, compliant, and high-quality documentation practices. Responsibilities: Maintain, issue, and distribute controlled documentation, ensuring up-to-date records and availability to the relevant project teams. Provide guidance and support to ensure compliance with document control procedures and promote best practices. Liaise with internal teams, contractors, and suppliers on document handling, issuance, and storage. Perform conformance checks on documents and drawings for status, format, and compliance. Assist project managers with maintaining an organized documentation structure in both hard copy and digital formats. Support the preparation and archiving of project close-out documentation. Incorporate lessons learned and industry experience into continuous improvement of document control processes. Operating Environment The position sits within the Quality department and plays a key role in supporting the Delivery Organisation’s functions. The Records function works alongside Quality Delivery, Quality Management, and Compliance teams to ensure appropriate systems, standards, and practices are in place for records management. The role involves regular collaboration with project teams and external partners, and alignment with the Electronic Document and Records Management System (EDRMS), currently based on ‘Teamcenter’. Knowledge, Skills, and Experience Essential: Experience as a Document Controller within an engineering or infrastructure project environment. Proficiency with Adobe Acrobat is desirable along with the Microsoft suite of applications (Word, Excel, PowerPoint, Visio and Outlook). Experience of working within a technical / engineering environment would also be beneficial. Strong organisational and time management skills with the ability to prioritise and manage pressure. Self-motivated team player with excellent attention to detail and understanding of electronic file structures. Proven experience managing project documentation in a regulated or structured environment. Ability to advocate for and implement best practices in document management. Desirable: Familiarity with Teamcenter EDRMS. Experience working in regulated industries, including infrastructure or energy sectors. Knowledge of ISO standards such as ISO9001/19443, ISO14001, ISO45001. Understanding of industry regulations and compliance frameworks.
