Our client is seeking a highly organised and proactive Senior Facilities Assistant to join their Operations Team. This is a fantastic opportunity for someone with a strong administrative background and excellent spreadsheet skills to step into a pivotal role supporting the Head of Operations.
You don’t need prior facilities experience — the right candidate will bring exceptional attention to detail, strong communication and spreadsheet skills, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Facilities Support:
1. Assist with the day-to-day management of office facilities
2. Liaise with suppliers and contractors for ongoing building services
3. Ensure compliance with health and safety protocols
4. Oversee building maintenance schedules and coordinate servicing (e.g., boilers, alarms, PAT testing)
5. Maintain digital records including BrightSafe, risk assessments, and insurance documentation
6. Support office sustainability and recycling initiatives
Administrative Duties:
1. Manage spreadsheets and reporting for operations, compliance, and staff tracking
2. Provide regular updates and reports to the Head of Operations and senior leadership
3. Maintain and update internal documents such as the staff handbook and office manual
4. Support firm-wide projects including refurbishments and staff training initiatives
5. Assist with events, marketing data collection, and new staff onboarding
6. Provide cover for reception, post duties, and archiving when needed
The Ideal Candidate Will Have:
1. Strong administrative experience, ideally in a professional services or office environment
2. Advanced spreadsheet and IT skills, with a confident approach to data management
3. Excellent communication skills, both written and verbal
4. High levels of organisation, attention to detail, and problem-solving ability
5. A professional, approachable, and team-oriented attitude
6. Flexibility to take on a variety of tasks across departments
7. Confidence working independently and using initiative
