About Us and The Role
We are seeking a confident, proactive person for the role of Meet & Greet/Reception Lead, based at Shire Hall, Warwick.
This person will coordinate operations of the Meet & Greet desk at Shire Hall – a key “front door” for Warwickshire County Council. The Meet & Greet team are the first point of contact for many users of Shire Hall, and are required to offer a high quality reception service to Warwickshire County Council staff, Councillors, building visitors and members of the public. The post-holder will lead on day to day Meet & Greet operations, ensuring a positive experience for customers of all ages. You should have outstanding customer service skills in person, on the phone and in writing, be confident with a range of ICT packages, be quick to learn and have the ability to build and maintain excellent relationships with a wide range of building stakeholders.
You should be proactive and skilled at seeking out, communicating and acting on information as appropriate, be able to develop and maintain consistent administrative processes as required, and have the ability to balance sometimes competing priorities effectively. You should have experience of dealing with challenging customer interactions and be able to deal with these with empathy and confidence.
As well as service delivery, this post will line manage up to 2 Meet & Greet/Reception Assistants, and will be responsible for scheduling, training, supporting and motivating this small team. The standard hours of this post will be 10.30am – 5.30pm Monday – Thursday and 10am – 5pm on Fridays, however it is essential you are able to be flexible to cover absence or leave from others in the team as required, including at short notice, and occasional evenings and weekends.
Key Skills & Experience Required
* 2 years customer service experience
* 2 years experience of working as a staff supervisor and/or line manager
* Proficient in the use of ICT applications including word processing, spreadsheets and other ICT systems
* Experience of recruitment, selection, induction, training, and development of staff.
* Experience of administrative routines, including creating of staff timetables
* Excellent customer service skills.
* A systematic, methodical and accurate approach to work.
* Ability to confidently liaise and negotiate with multiple stakeholders including senior managers.
* Effective communication skills, in person, by telephone and in writing.
* Ability to use own initiative and to respond independently to problems and unexpected situations.
* Ability to work flexibly to ensure continuity of service
Additional Information
The Fluency Duty is outlined in the Code of Practice on the English language requirements for public sector workers. The Fluency Duty for this role is Required. You must be able to speak and provide advice in accurate spoken English to the public.
