Job Summary: The Facilities Manager will be responsible for providing day to day operational management for all services ensuring that the ICG Medical premises within South Africa and their environments are maintained to an excellent standard, whilst also supporting across global locations as required. The role will ensure the health and safety of all who use the buildings; equipment and facilities are safe to do so. The job holder will manage globally the ISO 14001 standards accreditation and support the management of health and safety policies and practices across the business according to local regulations Key Responsibilities: Primary Duties and/or Responsibilities: Ensures that the South African office facilities are appropriately serviced and maintained. Receives and responds to related enquiries and complaints, and rectifies problems as required. Provides operational support in carrying out building maintenance and renovation projects. Liaise with and manage relationships with Landlords/external service providers for the provision of required repairs and services, where necessary, to ensure minimal downtime and optimal functionality. Receives, reconciles, and verifies invoices for services prior to authorisation. Assists resolution of discrepancies with service suppliers. Monitors and records monthly expense data, identifying cost-saving opportunities. Assists in the planning and coordination of physical staff moves. Confirms requirements, prepares, and distributes movement instructions and floor plans. Working with local office coordinators, oversees orders and distribution of supplies. Assists in scheduling movers, resolving any problems/issues with movement logistics. Coordinates mail systems and courier services where required and applicable. Including services to and from local, national, and international destinations. Security, Health & Safety: Alongside the local office coordinators liaises with the various security suppliers in order to resolve operational and/or mechanical problems with security hardware and systems. Maintains accurate records of access entry systems for all offices in the group. Organises and maintains the Facilities Team filing system. Coordinates and records office risk assessments. Liaises with local office coordinators relating to health and safety records management. Assists in organising training and maintains and updates records, where applicable, for any training relating to First Aid and Fire Warden personnel and ensures all volunteers and certificates displayed as appropriate and planned renewal training is carried out. Ensure all insurance/registered body/health & safety certificates are displayed as appropriate across all office locations. Additional Duties: Management of the SO 14001 standards accreditation on a global basis Respond to general enquiries concerning the services offered by the FM Team. Carries out special initiatives such as the periodic review of insurance coverage, office accommodation, and renovation and initial fit out projects, by researching and compiling information. Obtains objectives and requirements for events such as meetings, conferences and special events, determine type of service to be offered and implement operational procedures. Reporting Line: The Creative Operations Manager will report directly to the Head of Facilities. Qualifications: Proven Facilities Management Experience operating within a global organisation Full understanding and experience of ISO 14001 standards Excellent organisational and time management skills. Commercially focused and innovative Capacity to work towards strict deadlines. Ability to work well independently and as part of a larger team. Ability to work comfortably with figures and budgets. Proactive and responsive. Excellent interpersonal skills, ability to deal effectively with people and their requests. Good knowledge of facility administrative procedures and policies. Diplomatic assessment and secure handling of sensitive, classified and protected information.
