Overview
We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our practice. Shepherds vets, a friendly independent practice in Kidderminster, are looking for an experienced veterinary office manager to join their team. We are a busy one site practice that aims to provide gold standard care to the surrounding area. The ideal candidate will possess strong clerical and administrative skills, with a keen ability to supervise staff and manage human resources functions. This role is pivotal in ensuring that our practice runs smoothly and efficiently. This position would be suitable for someone with previous veterinary experience in an admin or HR role or potentially a head veterinary receptionist looking to take their next steps.
Duties
* A wide ranging position ensuring the smooth running of the office jobs within the practice.
* Daily diary management for multiple teams.
* Arranging staff rotas for vets and reception team.
* Assist the company secretary with monthly checks and calculations for staff wages, including checking holiday entitlement.
* Practice promotion via website, social media and advertising.
* Recruitment for permanent and locum staff, including all staff inductions.
* Responsible for all health and fire safety.
* Assisting with keeping all practice protocols in line with industry standards.
* Overseeing all ordering and stock control.
* Arranging all servicing and repairs.
* Dealing with client complaints.
* Able to also help with reception in the event of staff absence.
* Complete all other admin work as deemed necessary by the managing director.
Qualifications
* Proven experience in veterinary office management or similar role.
* Strong organisational skills with attention to detail.
* Proficient in clerical and administrative functions.
* Excellent communication skills, both verbal and written.
* Ability to manage a team effectively while promoting a collaborative atmosphere.
* Knowledge of human resources practices is desirable but not essential.
