About the role
St Catherine's Catholic College, The Whitsundays is seeking an experienced and dedicated School Officer - Administration to provide generalist administration and student reception support.This role is a permanent, term time position completing 38 hours a week, commencing 10 December 2024.
The role of School Officer – Administration is responsible for providing high level administrative support demonstrating a high level of self-initiative, flexibility, attention to detail, autonomy and dependability.
The School Officer – Administration will be required to liaise with visitors, parents, staff and students to the College. The incumbent will present a professional image and create a welcoming, warm and positive impression. As the initial point of contact for many key stakeholders, the School Officer - Administration will deliver high quality customer service.
Key Accountabilities
The School Officer - Administration duties include:
1. Support the delivery of operational tasks associated with reception and administration including: Oversee the parent/student receptionMail management and distributionResponding to incoming telephone and email enquiriesDealing professionally with and directing enquiries of parents, visitors and contractorsData entry to support registers and record management
2. Provide administration support that meets the day to day requirements of the school including: Co-ordinate dissemination of information to staff and studentsProduction of documents – letters, registers, spreadsheetsAssist in the production of internal and external documentsSort, prepare and file documents as requiredAssist with banking and receipting of items
3. Support the delivery of tasks associated with community events and school functions
4. Administer first aid where necessary
5. Monitor inventory for stationery and first aid supplies
6. Money handling
7. Support of First Nations Education.
About you
Experience
8. Previous experience providing generalist administrative support
9. Demonstrated capacity to organise and prioritise a range of tasks and set priorities to meet deadlines in a busy office environment
10. Demonstrated ability to work independently and as part of a team to deliver support
11. Proven ability in providing accurate and informative assistance to staff, students and parents confidently
12. Knowledge and familiarity of school management systems - Compass
13. Knowledge and familiarity of timetable software - Edval
14. Understanding of workplace health and safety legislation and best practice.
Skills
15. Ability to adapt to changing circumstances and embrace new ideas with enthusiasm
16. Strong computer literacy skills with the ability to operate a variety of platforms and programs including Google and Microsoft Office (especially excel spreadsheets)
17. Organisational planning and coordination skills including the ability to demonstrate flexibility and manage demanding or competing deadlines.

Mandatory Criteria
22. Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
23. Minimum certificate level or higher qualification or equivalent relevant experience
24. First Aid Certificate or the ability to attain one
25. Ability to perform the physical requirements of the role in a safe manner
26. First Aid qualification or the ability to obtain one.
Desirable Criteria
27. Recent administration and/or reception experience in a school or other environment.
