Job summary
Providing a high quality and comprehensive HR service to medical staff, offering guidance, support and advice on all aspects of the recruitment process and on-going employment issues.
Main duties of the job
Providing a first point of contact for doctors in relation to their employment.
Produce job adverts and advertise posts in relation to medical staff.
To ensure all recruitment documentation is issued in an accurate and timely manner, liaising with doctors at all grades.
Ensure all panel information for interviews is sent within agreed timescales to Managers.
Organise and set up all interview panels, booking rooms, catering etc.
Attend interview panels to ensure recruitment process is followed in accordance with medical recruitment policy.
Pro-actively ensure all pre-employment checks are undertaken and completed in accordance with employment legislation and Trust policies, ensuring they are completed within the agreed time frame and take ownership for pursuing any outstanding, whilst also making appointing officers aware that all pre employment checks are back and request new start information.
Attend junior doctor induction programme at each rotation period to present medical staffing information.
Provide a professional, reliable and timely medical staffing service to colleagues throughout the Trust in relation to all grades of doctors.
Provide and receive information orally, in writing or electronically from a variety of sources.

Main Duties and Responsibilities
Clinical Responsibilities, Patient Contact
Contact service users/carers to ask if they wish to be involved in our recruitment process for consultants.
Send letters providing information to service users/carers to confirm their involvement in medical staffing recruitment.
Administrative Responsibilities
Provide a comprehensive and efficient support service in relation to Medical Staff.
Use relevant databases/spreadsheets and checklists to record information around employment including data entry of information.
Provide administrative support to Medical Development Team as and when required including typing letters, team meeting notes and circulating to relevant people.
Produce information and packs for events in relation to recruitment, including populating registers of attendance and collate the information from evaluation forms.
Operate an effective filing system to ensure timely retrieval of information in relation to recruitment, sickness and other medical staffing issues.
Responsibility for Information Systems
Ensure that all sensitive personal information of doctors within medical staffing is stored appropriately in line with information governance and the data protection act.
Updates paper-based and computerised systems and maintains accurate and timely recording of information.
Inputs and retrieves information from computerised systems on a regular basis. Inputs and retrieves information from internal databases/spreadsheets.
Ensure the accurate recording, collection and presentation of statistical data as required.
Extract information from databases to produce regular reports.
Ensure all doctors personal details are inputted onto ESR on daily basis or as and when necessary, this includes sickness absences and pay details.
Responsibility for Planning/Organising & Strategic/Business Development.
Arrange meetings and events with regard to interviews, pre employment checks when requested. This will involve planning suitable dates and times in accordance with relevant timescales.
Plan ahead to ensure deadlines are met for recruitment and new starters, sickness monitoring.

Qualifications
Essential
1. Good general education to GCSE level or equivalent.
2. NVQ Level 4 or equivalent relevant qualification.
3. Advanced keyboard skills.
Desirable
4. Computer Driving Licence
5. CIPD Foundation Certificate
Experience
Essential
6. Experience of using IT systems to create and maintain spreadsheets, databases etc.
7. Able to demonstrate an understanding of a range of administrative and clerical procedures and the ability to undertake associated tasks adhering to defined procedures and guidelines.
8. Experience and ability of working under pressure and to tight deadlines whilst delivering high quality work.
