Role Overview
As a Project Coordinator, you will be responsible for providing administrative and operational support to project teams to ensure the successful planning, execution, and completion of projects. You will assist in coordinating project activities, resources, and stakeholders, while maintaining project documentation and facilitating communication among team members.
Duties & Responsibilities
* Schedule resource to Smartsheet and the schedule following consultation with electrical PM ensuring correct information is submitted.
* Communicate with SSEN and RFQ team as to any design issues raised.
* Update Depotnet with correct project dates (start, jointing, OH and electrical complete dates for PROMIS).
* Create correct phases and record interactions with customers in comments box, ensure additional photos from site visits are added.
* Book correct TM with provider and submit street works permits as per agreement with civils and electrical PM.
* Manage and deal with issues/problems that arise with the TM on jobs including consultation with councils and highway authorities.
* Ensure correct stats are acquired for job.
* Manage any third-party issues communicating with SSEN throughout the process (tree protection orders, access, working near historical monuments, MOD sites, etc.).
* Plan and manage PSI’s including the following:
o Liaising with SAP to ensure correct Enmac has been supplied.
o Requesting of customer lists and ensuring PSR and business customers have been contacted and added to the PSI form.
o Working with OH department to ensure linesmen have been booked for back feed checks and earthing/switching out if required.
o Filling in and submission of PSI application including PSI form, networks maps/drawings showing de-energised work area, back feeds to be used and generators if applicable.
* Commercial management of every project to ensure CE’s are booked.
* Booking of generators from SSEN.
* Liaising with SSEN customer care team on possible impacts on vulnerable customers.
* Printing out of carding packs for access officer and checking/confirming on returned carding packs.
* Scanning and sending of returned carding packs to SSEN.
* Updating SSEN on PSI progression and issues that arise on day of shutdown.
* Raising CE’s LA imposed change and responding to queries from the commercial department.
* Update SSEN control on LV on/off times of shutdown and points of isolation.
* Managing and responding to client/customer complaints outlining history of actions on specific jobs.
* Assisting with solving the day-to-day operational site issues that arise from jointing/OH and civils teams.
* Attend and participate in weekly city and guilds power engineering course.
* Manage and prioritise own workload taking into account your own objectives and those of the wider team.
* Create, maintain, and enhance working relationships with key contacts across the project.
Skills and Experience
Qualifications:
* Bachelor’s degree in business administration, Project Management, or related field.
* Proven experience in project coordination, administration, or related role, preferably within the relevant industry.
* Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities simultaneously.
* Excellent communication and interpersonal skills, with the ability to effectively communicate with stakeholders at all levels.
* Proficiency in project management software and tools (e.g., Microsoft Project, Asana, Trello).
* Knowledge of project management methodologies (e.g., Agile, Waterfall) and best practices.
Certifications:
* Project Management Professional (PMP) certification or equivalent is desirable.
* PRINCE2 Foundation certification or other relevant project management certifications would be advantageous.
