Office Manager: Line Management of 2No office based employees Maintenance of central H&S portal Owning relationships with GWS, the Landlord & other Contractors Completion and ownership of internal and external audits Maintaining WELL & BREEAM Certification levels Maintain 177 budget for maintenance, contractual and adhoc costing Effective fulfilment of Invoice pool including resolution of issues and queries and proactive management of payments POC for office related escalations Security access control Attending monthly tenant meetings Attending weekly management board meetings Ownership of office contract maintenance Control of 177 comms strategy Management of events held in 177 Preparation and organisation of monthly Townhall Preparation and onboarding for new starts and co-ordination of leavers PA: - Forward planning & proactive management of calendars across multiple time zones for Head of PMA and Head of Business Operations - Arrange complex travel and itineraries both domestic and global using the companies online travel assistant - Management and distribution of team correspondence - Assist with processing department financial data for budgets, accounts payable, and generating various financial queries and reports, where appropriate. - Effective fulfilment of Invoice pool including resolution of issues and queries and proactive management of payments - Document preparation (powerpoint, word, excel) - Complete expense reports and reconciliation of receipts - Organise team events Person Specification/Requirements - Effective time management and prioritisation of tasks using own initiative and with guidance where required - Experience in support at senior level for a minimum of 2 years - Excellent attention to detail - delivering results under pressure and with limited guidance while maintaining discretion and confidentiality - Strong ability to build relationships across all service lines - Analytic and decision making skills - Exceptional organisational skills - Excellent communication skills and attention to detail - Ability to trust and maintain confidences - Proactive - Advanced IT skills - Honest and reliable - Smart appearance Working at CBRE When you join CBRE you will have the support and resources of a global firm where an entrepreneurial mind-set is encouraged.
