The shift pattern for this position is 9:00am-5pm Monday to Thursday / 09:00am- 4:30pm Friday (37 hours). The Diagnostics Directorate is looking for a fulltime Administration Manager/Waiting List Manager for the Access Times & Performance Greater Glasgow & Clyde, Imaging Department. This is a permanent position. The post will be based within the Stobhill Hospital. Occasional travel across the North Sector may be required as well as GGC as per service needs. The primary purpose of this role is to provide a comprehensive, confidential, efficient, high quality and timely data analysis and administrative service to management across Greater Glasgow & Clyde Diagnostic Imaging. The post holder will be responsible for: Extract statistical data from CRIS (Radiology Information System) and present in most appropriate format, Word or Excel. Processing and recording all types of leave, updating SSTS for the Access & Cancer Tracker Team(s), the successful candidate will be responsible for the line management of approximately 9 amount of staff. Pro-active lead role in Administration/Waiting List Training, management of waiting list coordinators and clerical staff to ensure compliance with waiting list procedures, in line with ‘New Ways’ procedures and the Patients’ Rights Act. Liaise with Service Support Manager and the wider Management Team regarding outputs, highlighting any actions required. Develop and produce regular performance reports, which will include activity, waiting times and reporting turn around times. Create and provide ad hoc statistical reports to Radiologists, Superintendent Radiographers and nursing staff in line with the local information Access Policy. Liaise with other hospitals/providers across Greater Glasgow & Clyde to identify additional capacity to ensure that patients have their examinations carried out within the nationally agreed targets. Monitor use of other provider’s services and the reporting turnaround times. Train and supervise work of the Access Times / Performance Assistants and waiting list – Co-ordinators. Adapt systems for data collection to reflect changes in legislation or national guarantees. Ensure provision of effective administrative (clerical) services to support delivery of clinical services within area of responsibility. Direct Line Management responsibility for designated speciality waiting list staff. Constant, vigilant monitoring & analysis of waiting list data Prompt identification of potential problem areas & directly managing actions required to resolve Review & validate the Availability / Unavailability status codes to ensure compliance and patients are admitted in accordance with the national guarantee times and local targets The post holder will operate with a high degree of autonomy managing their own workload re-prioritising their workload when necessary to accommodate urgent and ad-hoc requests. Essential: Proficient in the use of software systems, including Microsoft Office packages i.e. Word, Excel, Outlook and Teams. Good organisational and communication skills, including the ability to prioritise and work under pressure to tight timescales. Flexible approach and an understanding of the principles of good teamwork. Ability to work proactively on own initiative, flexibly and independently. Statistic analysis using excel. Desirable: Basic knowledge and understanding of medical terminology required at entry which will develop through training & experience to a specialist level. Knowledge and understanding of working procedures and regulations related to Imaging acquired through experience. NHS Management experience.
